Job summary

Wilhelmsen Ship Management in Malaysia is seeking a detail‑oriented Finance Clerk to support vessel accounting and reporting. The role covers verifying payroll, updating cash and vendor records, posting journal entries, and ensuring documentation is complete.

You will prepare monthly reports for vessel owners, perform reconciliations and assist with budget follow‑up. Fresh graduates are welcome; proficiency in MS Excel and English is preferred, and SAP experience is a plus.

Qualifications

• Degree in accounting and/or finance (or equivalent in professional accounting body).
• Fresh graduates are welcome to apply.
• Proficient in MS Office applications, especially MS Excel.
• Good command of English.
• Work experience involving SAP systems will be an added advantage.

Responsibilities

• Prepare funds requests and update cash/receipts schedules monthly.
• Post bank entries via FEBA for non-open item payments.
• Perform vessel bank reconciliations monthly.
• Verify payroll entries monthly.
• Verify opening balances of onboard cash accounts, provisions and bond stores.
• Ensure purchases with cash onboard have original receipts.
• Verify expenses with proper documents.
• Prepare requisition forms for payments.
• Post Manning agent disbursement entries in accounting system.
• Code expenses accurately and obtain approvals from Crewing/Vessel/Fleet Managers.
• Post journal entries (accruals, adjustments, etc.).
• Reconcile vessel balance sheet items monthly (advances, payables, crew wages, etc.).
• Verify figure accuracy in online reporting.
• Perform analytical reviews before submission to management centers.
• Prepare monthly reports for vessel owners within deadlines.
• Ensure supporting documents are adequate and complete.
• Maintain filing for financial statements, bank statements, budgets and correspondence.

What You’ll Responsible For:

Main responsibilities

• Preparing funds request to vessel owners and update funds schedule on a monthly basis.

• Posting bank related entries via FEBA for non-open item payments

• Performing vessel bank reconciliation on a monthly basis.

• Verifying payroll entries on a monthly basis

• Verifying opening balances of onboard cash acc, provision and bond stores.

• Verifying all purchases made with cash onboard are supported by original receipt.

• Verifying all expenses are supported with proper documents.

• Preparation of requisition forms for payment.

• Posting entries from manning agent disbursement in the accounting system.

• Ensuring expenses are coded accordingly and approved by relevant Crewing Manager, Vessel Manager and Fleet Manager (where appropriate).

• Posting appropriate journal entries (accruals, adjustments, amortization etc).

• Verifying the Gard Insurance distribution.

• Reconciling vessel balance sheet items on a monthly basis - a few examples are given below:

• Advances

• Accounts Payables

• Crew Balance of Wages

• Allotment

• Cash to Master

• Open P.O. lists

• Other balance sheet items

• Verifying figure accuracy in online reporting.

• Performing analytical review before submission to management centers.

• Preparing and submitting of monthly reports for vessel owners within the deadlines.

• Ensuring supporting documents are adequate and complete.

• Maintaining a proper filing for financial statements, bank statements, budgets, other correspondence, etc.

• Preparing of budget follow up report (comparison of actual against budget figures) where applicable.

Accountabilities

• The position will be measured against accurate and timely submission of cash call, monthly report (soft and hard copies) and quarterly budget follow-up report

• To ensure that vessel owners and management centers receive prompt replies to queries.

• Degree in accounting and/or finance or equivalent in professional accounting body
