Mindgruve is seeking a Resource Manager to support projects by ensuring teams are resourced appropriately and efficiently. You will collaborate with Account Managers, Project Managers and Department Heads to allocate resources, address bottlenecks, and maintain data quality in systems.

You will assemble project teams, speak with team members, and help prioritize time to deliver high-quality work in a hybrid Mexico City environment.

Formación

  • 3+ years of experience in a digital agency setting.
  • Experience in project management, resource management, production management, or traffic management.
  • Understanding of project management principles and tools (e.g., Asana, Monday, ClickUp or other agency management tools)

Responsabilidades

  • Resource Allocation: Track availability of all agency staff members and update resource plans in the resource management tool.
  • Traffic Management: Oversee workflow and coordination of projects between different teams, addressing resource-related issues that may impact timelines or quality.
  • Resource Planning: Coordinate with business development and team leads to ensure best practices and budgets are entered in the resourcing tool.
  • Communication: Facilitate clear and timely communication between teams and Managers about availability and conflicts; join weekly resource meetings.
  • Utilization Reporting: Track and report on resource utilization and identify under- or over-allocation.
  • Tools & Systems Management: Maintain quality data in resourcing, time keeping, and project management tools; conduct audits for data standardization and time tracking.
  • Skills Tracking: Maintain the database of skills tagging based on team lead inputs.
  • Talent Collaboration: Maintain contractor and vendor database; source, vet, and onboard new freelance and partner talent to build a reliable resource bench.

About The Role

As Resource Manager, you will play a critical role in supporting our projects by ensuring teams are resourced appropriately and efficiently. You will collaborate closely with Account Managers/Directors, Project Managers and Department Heads to allocate resources (including internal employees, independent contractors, third-party partners), identify/address potential bottlenecks, and maintain overall project flow. Your focus will be on ensuring best practices are followed, data quality is maintained in systems, and generating reports for leads and management to help teams prioritize their time effectively. You enjoy assembling a team for a project, speaking with team members and making connections, and thrive on helping teams plan and prioritize time to deliver quality work.

Essential Duties And Responsibilities

  • Talent Collaboration: Maintain the agency's contractor and vendor database. Partner with HR and team leads to source, vet, and onboard new freelance and partner talent to build a reliable resource bench.
Qualifications

WORK EXPERIENCE

  • 3+ years of experience in a digital agency setting
  • Experience in project management, resource management, production management, or traffic management
  • Understanding of project management principles and tools (e.g., Asana, Monday, ClickUp or other agency management tools)
