About The Company

We provide cost segregation studies and related services to real estate owners and CPAs. The business is in rapid growth mode and operates with a distributed engineering team. We are a startup and require someone who is comfortable with ambiguity, fast‑paced work, and can think on their feet to drive major process improvements. Our product and service is unique: an engineered consulting service that happens almost purely virtually, and its sales service has the feel of a Software as a Service (SaaS) product (a person‑led knowledge product).

We are looking for a true business operator who can quickly make sense of our current processes and tools to drive core efficiencies.

The Opportunity

The Head of Operations will own the operating system that powers sales and delivery. Your mandate is to design, automate, and scale a complex virtual services workflow to optimize the business. This is a crucial, hands‑on role for an integrations and scaling‑focused expert. You will collaborate with engineering and sales to streamline proposals, signatures, payments, intake, and study delivery. We are looking for someone who has proven experience in creating a more streamlined operations flow and can make a lasting impact on our growth trajectory.

Key Responsibilities
  • Systems Implementation and Automation
  • Implement and own CRM and workflow automations, leading the shift to GoHighLevel (GHL) and managing transition away from tools like HubSpot.
  • Serve as integrations / implementations expert, focused on adding, subtracting, or integrating software and new processes to facilitate growth.
  • Recommend build versus buy decisions for items such as a simple document upload app.
  • Vendor management: actively engage with vendors or develop functionality of existing systems (GHL, Asana).
  • Partner with the engineering team (four full‑time engineers, two assisting, a PM, and a head of engineering) to scope quick wins and light development work.
  • Process Design and Optimization
  • Map, measure, and improve the end‑to‑end customer journey: lead capture, proposal, e‑sign, payment, onboarding, document collection, study delivery, and handoff.
  • Standardize proposals and contracting, eliminating bottlenecks in e‑sign and payment.
  • Build lightweight SOPs and QA for a fully virtual service.
  • Collaborate with sales leadership on lead routing, SLAs, and pipeline hygiene.
  • Strategic Outcomes (First 90 Days)
  • Cut proposal cycle time and backlog by redesigning the proposal to signature flow.
  • Increase speed from signed deal to kickoff through automation and clear handoffs.
  • Stand up a metrics dashboard for pipeline, study throughput, and time to close.
  • Produce a prioritized automation roadmap across tools like GoHighLevel and adjacent systems.
  • Define and track operating KPIs: studies completed, speed of execution, speed of closing, error rates, and customer cycle time.
What You Bring
  • Experience: 5 to 10 years in operations or business operations for a virtual services company. Experience in a consulting field or with a person‑led knowledge product (e.g., accounting, tax advisory, or similar) is a definite plus.
  • Scaling Track Record: Proven record scaling a business with measurable improvements to cycle time or throughput.
  • Ambiguity Comfort: Ability to think on your feet and be comfortable with ambiguity and fast‑paced work characteristic of a startup environment.
  • Systems Expert: Strongly prefer experience with GoHighLevel or similar CRM systems; experience taking a company from one combined system (like HubSpot) to a new, more integrated system is highly valuable.
  • Project Experience: Ability to detail ops changes and projects you’ve worked on in the past and the impact on process and efficiency.
  • Skills: Systems thinker who can gather requirements, propose one to three options, and drive execution end to end. Clear communicator who thrives in a founder‑led environment and can grow into a COO track.
Logistics
  • Location: Remote, Offshore. We are open to candidates from South Africa and Latin America due to time zone alignment and English proficiency.
  • Schedule: Full Time, 8 AM - 5 PM CST.
  • PTO and Benefits: American holidays are offered, with some flexibility for major local holidays. We offer fairly unlimited PTO if targets are being hit and approval is secured beforehand.
