Role Summary

The Executive Assistant / Office Manager role is integral to supporting executive leadership, the sub‑regional sales team, and cross‑functional departments. It ensures smooth operations, fosters efficiency, and plays a pivotal role in building a cohesive, value‑driven workplace culture. Responsibilities
  • Executive Assistant to Sales VP and Directors
    • Calendar & Schedule Management: Plan, prioritize, and manage calendars ensuring alignment with internal and external stakeholders.
    • Travel Coordination: Organize travel plans including flights, accommodations, itineraries, transfers, and last‑minute changes.
    • Communication & Correspondence: Draft, edit and manage professional communication, acting as a point of contact for inquiries.
    • Meeting Preparation: Prepare agendas, presentations and materials for meetings; arrange in‑person meetings and transfers.
    • Confidentiality: Handle sensitive information with discretion and maintain a high level of professionalism.
  • Office Administration (Support focused on the Sales team)
    • Back‑office administration to ensure efficient operations for the sales team.
    • Coordinate meetings, presentations and communications between the sales team and clients.
    • BCD Travel Administration and travel emergencies.
  • Event Planning and Budget Management for Sales Team
    • Quarterly Business Reviews (QBRs): Plan and execute four QBRs annually, managing all logistics and budgets; allocate annual budget in advance.
    • Sales Events (≈1 per week): Organize CX Day, CX Workshop, etc.
    • Standard processes for events: Room reservations, merchandising and gift preparation, identify participants, coordinate coffee breaks.
    • Executive Visits: Create and implement a standard process for executive visits, covering agenda, transportation and reservations.
  • HR, IT & Facilities Support (Applicable for Mexico, NOLA, SOLA)
    • HR Support: Assist with onboarding new hires and local HR tasks (only NOLA and SOLA).
    • IT Support: Manage inventory of laptops, cell phones, prepare devices for new hires and oversee IT services.
    • Facilities Support: Oversee office administration, supplies, snacks, beverages, cleaning and security, acting as point of contact for office services.
  • Finance and Invoice Management (Mexico, SOLA, NOLA)
    • Support finance team by collecting invoices at the end of each month.
    • Amex (corporate credit card administration).
  • Purchasing Process
    • Effectively manage the purchasing process, onboarding new vendors, creating purchase requisitions and ensuring sub‑region needs are met efficiently and cost‑effectively.
  • General Problem‑Solving & Relationship Management
    • Act as a liaison between executive team members.
    • Proactively anticipate needs, troubleshoot administrative issues and maintain smooth team communication.
  • Corporate Communication & Coordination
    • Primary point of contact for LATAM Leadership and Genesys Corporate Teams, including Facilities, Events, DEI, Purchasing, etc.
    • Engage in high‑level conversations to align regional standards with global strategies, streamline processes and enhance collaboration.
    • Support and contribute to global initiatives, ensuring regional execution is aligned with corporate goals.
    • Bridge between regional and corporate teams, fostering effective communication and partnership.

Ownership and Empowerment
Take full ownership of office administration, ensuring smooth daily operations without constant oversight and make decisions within approved budgets for office supplies, vendor selection, travel and event expenses.

Collaboration and Communication
Maintain clear communication with LATAM Leadership, U.S. corporate teams and internal departments (HR, IT, Facilities).

Strategic Thinking & Problem‑Solving
Serve as a trusted advisor to Sales Leadership, anticipating obstacles and developing solutions before they impact operations.

Cultural Leadership
Act as a Genesys Values Ambassador, modeling Embrace Empathy, Fly in Formation and Go Big.

Process Improvement & Documentation
Create SOPs for recurring events and regularly review and refine processes.

Global Alignment & High‑Level Collaboration
Represent LATAM region in high‑level conversations, ensuring regional needs are incorporated into global strategies.

Key Performance Indicators (KPIs)
Performance measured by meeting deadlines, event success, stakeholder feedback and smooth administration.

Technology & Tools

Proficiency in Microsoft Office is required.

Decision‑Making Autonomy

Autonomy for routine decisions; key budget and vendor decisions align with executive priorities.

Training & Development Opportunities

Access to ongoing training to enhance administrative skills and leadership competencies.

Scope of Support Across Regions

Primary support for LATAM; cross‑regional support may be required with coordination between LATAM.

Crisis Management & Unexpected Situations

Proactively manage unforeseen circumstances such as travel disruptions, last‑minute meeting changes and urgent executive requests.
