Jones Lang LaSalle Incorporated is seeking a Facilities/Reception Coordinator to manage firstline soft services at site(s), including reception, mail, and business center operations. You will work with the FM team to ensure high-end client service and oversee inventories and site workflows.

Responsibilities include coordinating reception, supporting events, inspections, and vendor management, while maintaining compliance with EHS and security policies.

Formación

  • Academic background: Technical or University degree or equivalent experience.
  • Zero to three years of experience performing similar activities.
  • Details orientation with ability to analyze and organize multiple priorities.
  • Written and verbal communication and organizational skills.

  • Manage vendor contacts and report issues, recommendations and cost estimates.
  • Support weekly and monthly building inspections with Site FM.
  • Assist in organizing internal and external Client events.
  • Ensure compliance with client’s and JLL EHS, Security, and Business Conduct principles.

The position will be primarily responsible managing first line soft services to the site(s) including reception, mail operations with the objective to drive a high-end customer service experience to fulfill our Client’s internal and external customers, visitors and/or third-party vendors. Overall, the role will be accountable for a variety of specific and/or specialized activities including but not limited to: the site supplies inventory control and management, support administrative tasks associated to Facilities Services, Front desk scope of work, business center and mail services as well as building inspections/work orders.

Roles & Responsibilities
  • Address and fulfill Client associates’ inquiries in a polite and timely manner.
  • Lead and coordinate the reception and business center teams and closely work with the FM team to drive events requirements related to spaces set up.
  • Manage and maintain regular contact and meetings with relevant vendors - to report on issues, recommendations and cost estimates.
  • Support weekly and monthly building inspections in alignment with the Site FM.
  • Support work orders resolution – interfacing with internal customers to promptly fulfill their requirements per applicable service level agreements.
  • Support Travel/Visitors while interfacing with the local FM team and Organization Units to gathering and communicating up to date information to the reception and business center staff.
  • Assist in organizing internal and external Client events.
  • Manage the quality of conferencing facilities and engage with the local FM team whenever issues arise.
  • Support local procurement needs working closely with the regional Sourcing and Procurement team.
  • Provide support and coverage for Facilities Manager when appropriate and/or required as per assigned by the Client.
  • Responsible for all other duties and tasks as assigned.
  • Pro-actively identify opportunities to continuously drive effectiveness and efficiencies within the Site Facilities operations focusing on its primary responsibilities.
  • Ensure compliance with client’s and JLL EHS, Security, Business Conduct principles and key performance indicators.
  • Fulfill information or guidance requirements from Client’s associates.
  • Ensure sufficient supplies inventory stocks availability on an ongoing basis, please orders for re-stocking purposes and keep control over consumptions trends to identify efficiency opportunities in the process.
  • Ensure visitors comply with Client’s external visitation registration system following the established process and security policies.
  • Support and assist internal customers on how to book meeting or conference rooms, check availability and different access/permissions.
  • Assist with vendor management, contracting and on-boarding processes.
Requirements
  • Academic Background: Technical or University degree or; an equivalent number of years of education and/or working experience in the hospitality, Corporate Office environment or related fields.
  • Experience: Zero to three years of experience performing similar activities.
  • Skills: Details orientation with ability to analyze, problem solve, organize and manage multiple priorities.
