Overview
The Administrative Sourcing Assistant provides administrative and operational support to the Sourcing Department, ensuring accuracy and efficiency in supplier documentation, purchase requests, data management, and coordination between internal teams and suppliers. This role plays a key part in maintaining the flow of information and supporting day-to-day sourcing activities aligned with company procedures and timelines.
Responsibilities
- Provide administrative support to the Sourcing team, including scheduling meetings, preparing reports, and maintaining supplier records.
- Manage and organize supplier documentation such as quotations, contracts, and certifications.
- Create and update purchase requisitions and follow up on approvals in ERP systems (Workday, SAP, or similar).
- Assist in tracking orders, deliveries, and invoices to ensure timely processing.
- Maintain updated databases and dashboards related to supplier performance, cost savings, and sourcing KPIs.
- Support RFQ (Request for Quotation) and RFI (Request for Information) processes by consolidating data and ensuring accuracy.
- Coordinate communication between suppliers and internal departments such as Quality, Logistics, and Engineering.
- Prepare reports and presentations related to sourcing activities and departmental performance.
- Ensure compliance with internal purchasing policies and audit requirements.
- Provide general office and clerical support as needed by the department.
Technical Skills
- Strong knowledge of Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Experience with ERP systems such as Workday, SAP, or Oracle.
- Basic understanding of purchasing and sourcing processes.
- Ability to manage multiple administrative tasks and maintain attention to detail.
- Fluent communication in English and Spanish (written and verbal).
Education and Experience
- Bachelor’s degree in business administration, International Trade, Industrial Engineering, or a related field.
- 1–2 years of experience in an administrative role within Procurement, Sourcing, or Supply Chain.
- Experience in a manufacturing environment preferred.
