A financial services company located in Mexico is seeking an Accounting & AP Support Specialist to provide day-to-day accounting and administrative support for a dedicated client. This role involves project setup, purchase order support, and transaction recording using QuickBooks Online. The ideal candidate will have strong experience with QuickBooks, detail-oriented skills, and the ability to work closely with U.S.-based teams.

Formación

  • Strong experience with QuickBooks Online.
  • Familiarity with accounts payable workflows.
  • Experience coding or preparing bills in systems such as RAMP.

The Role:

The Accounting & AP Support Specialist provides day-to-day accounting and administrative support for one dedicated client. The role focuses on project setup, purchase order support, bill preparation, RAMP coding, and transaction recording in QuickBooks Online. The specialist ensures smooth coordination between project information, RAMP activity, and accurate financial records.

Responsibilities:
  • Project & Purchase Order Support
    • Review incoming project details via Google Sheets or email
    • Extract project information (client, project title, terms, vendor, revenue details)
    • Create corresponding projects in QuickBooks Online
    • Ensure project names align with purchase order names in RAMP
    • Request missing information when needed
    • Track status of active and upcoming projects
  • RAMP Bill Preparation & Coding
    • Review purchase orders created by agents
    • Prepare bills in RAMP using the correct project name
    • Attach vendor invoices and supporting documents
    • Tag terms (pay now / pay later) based on project details
    • Prepare items for internal review
  • QuickBooks Online Transaction Support
    • Record transactions and match them to the correct bills or deposits
    • Link vendor payments, revenue, and expenses to the appropriate project
    • Maintain clean, organized financial records
    • Reconcile vendor activity with supporting documents
    • Assist with organizing financial data for reporting
  • Email & Communication Support
    • Monitor shared AP inbox for incoming project details, agent requests, and vendor documents
    • Sort correspondence into logical categories (Vendor Docs, Pending Info, Agent Requests)
    • Flag items requiring review
    • Maintain clear communication regarding open items or missing information
  • Documentation & Organization
    • Save and organize files in the appropriate cloud folders
    • Maintain orderly folders for projects, vendors, and supporting documents
    • Track weekly activity and outstanding items
Requirements:
  • Strong experience with QuickBooks Online
  • Familiarity with accounts payable workflows
  • Experience coding or preparing bills in systems such as RAMP (or ability to learn quickly)
  • Understanding of project-based financial organization
  • High attention to detail and accuracy
  • Ability to follow structured processes
  • Strong communication and documentation skills
  • Ability to work with U.S.-based teams and meet deadlines
