Parexel FSP has an exciting opportunity for a Vendor Start-up Manager to join our dedicated team, based in the UK, Ireland, Italy, Serbia, or Romania.

Job Summary:

The VSM ensures flawless and accelerated vendor service delivery during trial start-up, supports implementation of category strategies, standardizes services, and ensures compliance throughout the study lifecycle. The role involves proactive risk assessment and contingency planning to de-risk study start-up and beyond.

This position is category-aligned, focusing on managing IRT services and vendors.

Key Responsibilities:

  1. Review vendor and category-specific protocol sections, leveraging vendor expertise in refining specifications.
  2. Contribute to the development of the Study Specification Worksheet (SSW) for bid facilitation and vendor selection.
  3. Review quotes and proposals with procurement and vendors; support contract negotiations if needed.
  4. Review vendor budgets, control costs, reconcile invoices, and close POs.
  5. Provide study demands to VCE to support program overview.
  6. Ensure all submission documents are provided by vendors for participating countries.
  7. Collaborate with trial and monitoring teams to understand site requirements.
  8. Share changes to country and site plans with vendors and VCE; support contract amendments with procurement.
  9. Optimize study start-up processes for timely site readiness.
  10. Ensure vendor service excellence, meeting quality and service standards.
  11. Act as escalation point for vendor queries.
  12. Create and maintain vendor risk maps with contingency plans.
  13. Follow-up on vendor-related risks and issues with countries and hubs.
  14. Document vendor performance issues and implement corrective actions; escalate as needed.
  15. Conduct root cause analysis of performance issues and identify trends.
  16. Support the implementation of standards, templates, tools, and processes for vendors.
  17. Assist in practice improvement projects and learning initiatives.
  18. Collaborate across departments for vendor qualification data.
  19. Review and approve invoices.
  20. Develop and support training materials with vendors.

Skills:

  • Strategic thinking, organizational knowledge, advanced planning, and project management skills.
  • Strong partnering, problem-solving, negotiation, and conflict resolution skills.
  • Excellent communication skills in English.

Knowledge & Experience:

  • Over 3 years of experience in clinical operations and vendor management.
  • Knowledge of GxP and ICH regulations.
  • Experience with clinical trial design and supplier requirements mapping.
  • Experience managing Patient Recruitment and Retention vendors/services.
  • Leadership in supplier relationship management.
  • Partnering across divisions with internal and external stakeholders.
  • Skills in root cause analysis, problem solving, and solution development.
  • Understanding of key milestones and vendor readiness impacts.
  • Experience in outsourcing, contracting, and sourcing clinical services, especially with IRT vendors.
  • Category expertise, ideally in global equipment supply or radiation, though not mandatory.
