Overview

TRAVEL DESIGN & BOOKINGS ASSISTANT
APPRENDISTATO CONTRACT

Our ideal candidate has completed a Travel Design & Bookings & Operations course or has experience with a tour operator, travel agency or DMC. You will primarily work on Italy-based customised itineraries for private clients, with exposure to the UK & Ireland, Spain & Portugal, France & Greece at various stages.

This position is fully remote and you will be working from home.

Job Description

This role will involve Travel Design and Bookings & Operations. Note: you will not perform these roles concurrently; you will switch between them for a period of time according to seasonality and business needs.

Travel Designer: responsible for designing accurate, curated itineraries for clients and actively involved in the sales process, including client communications via email and telephone. You will have a sales budget to achieve.

Bookings & Operations Assistant: responsible for all aspects of bookings and maintaining client relationships from confirmation through departure, as well as managing supplier relationships.

Key tasks
  • As a Travel Designer, create accurate, thoughtful itineraries, cultivate client relationships and achieve sales targets.
  • As a Bookings & Operations Assistant, manage client relationships from booking to departure, including:
  • Dealing with emergencies
  • Checking that clients have everything before their arrival
  • Communicating with clients during tours to provide reconfirmation and final information
  • Booking services (transfers, tickets, hotels, activities, guides, etc.) and reconfirming with suppliers and hotels prior to tour commencement
  • Following up supplier invoices and liaising with the accounts department
  • Itinerary checks: timings, meeting points, contact details for services entered into our itinerary system and communicated to clients, double-checked with suppliers

  • You have an almost maniacal attention to detail and can manage in a fast-paced, deadline-driven environment
  • You’re comfortable speaking with clients and suppliers on the phone
  • You enjoy the sales process and excel at understanding client needs and closing business
  • You have a C1 level of written & spoken English
  • You have a C1/2 level of written & spoken Italian
  • You work well in a team but can work independently and make quick, smart decisions to resolve problems
  • You work well under pressure and can multi-task and prioritise
  • You are proactive, with initiative and a willingness to ask questions and propose ideas
  • You thrive in a remote work-from-home environment
  • You go the extra mile for clients and teammates
  • You have a vibrant personality and a positive attitude
  • You are a rapid learner of new technologies and systems (Google Workspace, Google Sheets, Trello, and an online itinerary creation system)
