The role requires coordinating with project managers, arranging shipments, maintaining documentation, and ensuring timely delivery while optimizing costs and inventory accuracy.

Competenze

• Bachelor’s degree required in logistics/supply chain/business field.

Transport, Logistics and Warehouse Operations Specialist

The Opportunity
For our Substation Automation Business Unit based in Santa Palomba we are looking for a Transport, Logistics & Warehouse Operations Specialist reporting directly to the Procurement Manager; he will be in charge of ensuring efficient, cost-effective, and punctual transports and accurate, safe, and timely handling of goods through streamlined processes and operations in the warehouse and along the entire transport chain.

How You’ll Make An Impact

• You will coordinate with the project managers of the various projects to arrange for the collection of goods from suppliers (Italy, Switzerland, the Czech Republic, Germany, and occasionally China and India), having them delivered either to the warehouse in Italy or directly to the client's site in Italy or North Africa (drop shipment), to organize the shipment of materials returned by clients to Hitachi due to warranty-covered defects.
• You will identify, gather, and prepare the necessary documentation for the export, import, and triangular trade of goods.
• You will engage freight carriers and transportation service providers and coordinate with them to schedule inbound and outbound shipments, track shipments to ensure timely delivery and resolve any transit issues that may arise, prepare and verify all shipping documents (e.g., Bills of Lading, commercial invoices) for domestic and international shipments (primarily to and from the Czech Republic, but not only), handle requests for quotations for international and domestic road transport in collaboration with Purchasing Department, negotiate with carriers for competitive shipping rates and services, coordinate with the operational unit’s Purchasing Department to get issued appropriate purchase orders.
• You will monitor the Hitachi Subcontractor responsible for managing warehouse and testing room logistics to ensure that he will receive, inspect, and accurately record all incoming shipments of materials and products, organize and maintain inventory in designated storage areas for easy access and retrieval, conduct regular physical inventory counts (cycle counts) and reconcile with data in the Warehouse Management System (WMS);
• You will monitor the Hitachi Subcontractor responsible for managing warehouse and testing room logistics to ensure that he will accurately pick, pack, and prepare customer orders for shipment according to company standards, generate shipping labels, packing slips, and other necessary documentation, ensure all orders are dispatched on time to meet customer delivery deadlines.
• You will be responsible for monitoring that business functions properly use the SAP management system to initiate inbound and outbound processes, reporting any anomalies to the Procurement Manager and subsequently assisting him/them in resolving the issue.
• You will support the Controlling Dept. to monitor the inventory levels to prevent overstock situations, uncontrolled stockpiles of obsolete materials, reporting discrepancies to management.
• You will be responsible for scrapping the obsolete materials according to Italian law and company standards, doing manual activities (select, identify and pack the goods) and coordinating with Subcontractors.
• You will strongly support the the Procurement Manager for coordinating all operational activities related to the annual inventory count process, including the extraction, validation, and upload of inventory data within SAP. You will work in close cooperation also with Project Management and Controlling functions to ensure that inventory activities are performed efficiently and in full compliance with Hitachi Energy policies, internal controls, and company procedures.
• You will be responsible to ensure compliance with applicable external and internal regulations, procedures, and guidelines.
• Process Improvement Project: Testing Room Material Storage and Traceability. You will be responsible for the organizational and operational management of incoming and outgoing materials for one of the three Testing Rooms of the Santa Palomba organization . The role requires close coordination with Testing and Commissioning technicians, warehouse personnel responsible for material handling and transportation activities. In specific cases, you will also be expected to directly perform material handling operations. You will be responsible for preparing packaging for materials stored on pallets and ensuring that materials are properly protected and ready for shipment or internal transfer. A small dedicated storage area equipped with shelving systems and ground-level spaces is available for temporary material storage. You will be expected to design and implement an organized material management process that ensures clear material identification, storage location control, and full traceability throughout the material lifecycle with the goal of with the aim of transforming the current temporary storage area into an area exclusively for transit. As part of this role, you will lead a continuous improvement project aimed at optimizing the process for receiving, storing, retrieving, and shipping materials handled within the warehouse and technical laboratory environment. The objective is to transform the current temporary management approach into a standardized, sustainable, and robust long-term solution. The solution shall enable tracking of When materials were delivered and by whom, Where materials are stored, When materials are collected and by whom, When materials are returned after processing, When materials are released for shipment and who requested the shipment.
• You will act as the process owner for all materials delivered by the Logistics function (warehouse) and will be responsible for defining and implementing a tracking database and operating procedures to manage material flows.

The process should include:

1) Material Receipt

Receive ownership of incoming materials delivered by Logistics.

Ensure materials are placed in the appropriate storage location.

Record the following information in a dedicated database:

Assigned project number or cost center.

Date and time of receipt.

Delivery note reference.

2) Material Withdrawal for Processing. To record in the database:

Material withdrawn.

Date and time of withdrawal.

Name of the person receiving the material.

3) Material Return After Processing

Record in the database:

Material returned.

Date and time of return.

4) Material Shipment. To record in the database:

Material released for shipment.

Date and time removed from storage.

Name of the person requesting the shipment.

• Developing and implementing the improved material management process.
• Collaborating with the Testing function and other relevant stakeholders to gather requirements and incorporate feedback.
• Designing and deploying a suitable database or tracking tool to manage material movements and storage locations.
• Preparing an Operational Work Instruction (OWI) or equivalent procedural document that clearly defines roles, responsibilities, workflow steps, and traceability requirements.
• Ensuring that the proposed solution is scalable, auditable, user-friendly, and aligned with Hitachi Energy operational standards and continuous improvement objectives.

Your Background

• Bachelor’s degree in Logistics Engineering, Supply Chain Management, Business Administration, or a re-lated field or equivalent field preferred. Secondary education diplomas are also accepted, provided they are backed by suitable aptitude and work experience relevant to the role requirements.
• Minimum 3-5 years of experience in warehouse operations, inventory management, logistics, or supply chain functions within an industrial or manufacturing environment.
• Proven experience working with SAP ERP systems, including data extraction, analysis, and transaction processing.
• Knowledge of inventory control principles, stock accuracy methodologies, and good knowledge of annual physical inventory processes.
• Experience in cross-functional collaboration with Procurement, Project Management, Finance, and Controlling functions.
• Good understanding of internal controls, compliance requirements, and corporate procedures related to inventory management.
• Strong analytical and problem-solving skills with a high level of attention to detail.
• Good organizational and coordination skills, with the ability to manage multiple priorities and deadlines.
• Proficiency in Microsoft Office applications, particularly Excel for data analysis and reporting.
• Effective communication and interpersonal skills, with the ability to work in a multicultural and international environment.
