Job Summary:

The Tour Operations Specialist is responsible for executing and maintaining operational accuracy and vendor management for all tour components within an assigned territory. Handles all aspects of key line items within the operations systems from end to end. This position owns vendor, departure-specific updates, and confirmations for the assigned territory, as well as supporting secure space and chase bids. Meets regularly with Product Managers, Designers, and Buyers to provide status updates and make relevant changes within the operating systems. The role aligns with the company’s Excellence and Revenue goals.

Primary Functions:

  1. Builds strong relationships with vendors through clear and consistent communication to confirm and update tour components, vendor status, and records confirmations within the operations systems.
  2. Attends regional meetings to support operational consistency of vendor services with established tour itineraries, identifying operational needs and deviations.
  3. Works across multiple departments to ensure tour components are accurate and consistent, ensuring overall tour integrity for traveler satisfaction.
  4. Communicates with tour managers, buyers, product managers, and designers regarding vendor issues.
  5. Supports Product Managers in troubleshooting and addressing vendor issues raised by Tour Managers.
  6. Creates and maintains various tour documents.
  7. Assists the Regional Team in finding backup options based on vendor denials.
  8. Maintains ongoing communication with vendors, monitoring inquiries and issues such as confirmations, questions, requests, invoices, and complaints.
  9. Builds non-required line items into operational systems, including assigning services, creating suppliers, managing contracts, and scheduling side reservations.
  10. Assists with builds and audits of side reservation components with high accuracy.
  11. Supports maintenance and updates of tour components in the systems.
  12. Supports securing tickets for operational elements requiring pre-purchase.
  13. Partners with regional teams to support FAMs and add dates as needed.
  14. Assists with Tour Change side reservation updates and vendor messaging with accuracy.

Knowledge and Skills:

  • Bachelor’s degree preferred or equivalent experience.
  • Experience in scheduling, logistics, supply chain, inventory, or ERP systems is a plus.
  • High initiative, analytical thinking, and problem-solving skills required.
  • Ability to plan, organize, and prioritize efficiently in a fast-paced environment.
  • Ownership and proactive decision-making skills.
