The Opportunity

Randstad Italia is hiring a Team Assistant on behalf of an international design and innovation center based in central Milan. This role offers the chance to work in a multicultural, creative environment where you’ll support day-to-day office operations and provide organizational and logistical assistance to a dynamic international team.

Key Responsibilities

Office Management

  • Manage supplies (stationery, snacks, drinks) and place orders when needed
  • Prepare meeting rooms, organize coffee breaks, and welcome guests
  • Handle front-desk duties :

visitor registration, restaurant bookings, food orders, hotel suggestions

  • Monitor deliveries and manage shipping documentation
  • Process and verify expense reports
  • Manage small purchases and magazine subscriptions via internal systems
  • Track and update internal access permissions
  • Team Support

  • Organize meetings, both internal and cross-functional
  • Coordinate team-building events, year-end gatherings, and office celebrations
  • Support planning of external events and exhibitions
  • Assist with travel arrangements (visas, flights, accommodation)
  • Support onboarding of new employees (SIM cards, phone setup, app installations)
  • Help team members navigate internal tools and resolve minor operational issues
  • Manage NDA preparation and documentation for suppliers

  • Previous experience in team support or administrative roles, ideally in international or creative environments
  • Excellent organizational skills and attention to detail
  • Proficiency with office management tools and digital systems
  • Strong interpersonal and communication skills
  • Fluent in Italian and English (Chinese is a plus)
