Scope of this role

We are on the lookout for a dynamic HR Operations Specialist to become a key player in our Human Resources department. In this role, you will orchestrate the entire employee lifecycle, from Hire to Retire. TAPI will soon continue as a standalone organization! Due to this exciting step, we are looking to build a complete in-house HR team to support our business from A-Z.

The HR Operations Specialist will be responsible for managing the Human Resources Information System (HRIS) to ensure its accuracy, integrity, and security. This position will perform the day-to-day system administration of the HRIS and maintain the accuracy of employee information and records.

The HR Operations Specialist acts as the first point of contact for administrative queries from employees across all TAPI Italy sites and provides a comprehensive administrative support service to the human resources team, supporting projects undertaken within the human resources department.

The ideal candidate possesses knowledge of all HR workflows, the full employment cycle, and experience in a manufacturing environment, good organizational skills, and a commitment to maintaining confidentiality.

How you’ll spend your day

  1. Support the execution of all HR transactions and administration, benefits administration, regulatory compliance, mobility, and onboarding and offboarding activities.
  2. Maintain regular HRIS input by collecting relevant employee lifecycle information, such as personal data, contract terms, and benefits and compensation details.
  3. Track and report job openings and employee data in collaboration with the TA and HRM.
  4. Contribute to developing and implementing policies and procedures for the HRIS.
  5. Provide technical support to HR staff and other departments in use on all aspects of the HRIS and coordinate system upgrades and patches as necessary.
  6. Generate detailed reports and analyze data to identify trends and recommend solutions.
  7. Ensure accuracy of data entered in the HRIS.
  8. Create and maintain employee records, including attendance, leaves, benefits, and personal information in a safe and confidential manner while adhering to local rules for data protection (GDPR).
  9. Archive management (digital and non-digital).
  10. Address employee inquiries related to payroll, tax, and onboarding and offboarding procedures, ensuring that these critical aspects of employee management are efficiently executed.
  11. Implement internal HR practices that secure compliance with labor laws.
  12. Troubleshoot workforce issues concerning employees and management to ensure positive employee relations.
  13. Contribute to onboarding and offboarding efforts; create frameworks for educational sessions for new hires and feedback and exit interviews for terminated employees.
  14. Notify relevant stakeholders and/or site populations of newcomers, organizational personnel changes, and terminated employees.
  15. Support the Payroll Manager in managing requests/communication from governmental bodies (INPS/INAIL/Agenzia delle Entrate) to ensure compliance and assist the HR Manager/Payroll Manager during internal or external audits.

Your experience and qualifications

Qualifications:

  1. Bachelor’s Degree in HR or equivalent education.
  2. Preferred formal certification in labor laws.
  3. HRIS System and platforms – Success Factors / SAP or additional system.

Language:
Preferred good knowledge of the English language.

Experience and soft skills:

  1. At least 2-4 years of experience in HR Operations with exposure in a manufacturing location from an HR Operations perspective.
  2. Good knowledge of statutory and labor laws.
  3. Analytical & Proactive thinking.
  4. Digital Systems related to HRIS.
  5. Proficiency in Microsoft Office applications, particularly Excel.
  6. Strong attention to detail and accuracy in managing data.
  7. Good organizational and time management skills to meet strict deadlines and manage multiple priorities.
  8. Exceptional communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization.
  9. High level of integrity and ability to handle sensitive and confidential information.
