The following is a job description for an Administrative Coordinator. The individual in this position will be responsible for providing administrative support to the project management team. Key responsibilities include:
Providing clerical assistance with correspondence, such as answering phone calls and responding to emails.
Assisting with joint venture board activities, including arranging meetings and preparing agendas.
Performing secretarial duties, including composing correspondence and reports.
Organizing programs, events, and meetings by arranging facilities and catering, issuing information or invitations, coordinating speakers, and controlling event budgets.
Preparing confidential correspondence, reports, and other complex documents.
Typing emails, purchase requisitions, payment requests, travel requests, and other department forms and documents.
Creating and maintaining databases and spreadsheet files.
Arranging complex and detailed travel plans and itineraries, compiling documents for travel-related meetings.
Preparing executive team expense reports and monthly reimbursements.
Maintaining confidentiality of all corporate, personnel, and research matters.
Reconciling corporate credit card accounts.
Assisting with IT support for video conference calls for meetings.
Configuring telephone equipment and coordinating telephone service with network suppliers.
Maintaining essential inventory of office supplies and ensuring good working order of office equipment and efficient running of office.
Evaluating and recommending purchases or leasing of office equipment.
Able to prioritize tasks effectively and work efficiently in a fast-paced environment.
Other duties as required from time to time.
