Receptionist – Front Office & Operational Support

We are looking for a reliable and proactive Office Assistant to join our Milan team. This part-time role is ideal for candidates with excellent organisational skills and a natural ability to manage multiple tasks while maintaining a welcoming and professional environment.

The selected candidate will be responsible for welcoming guests and suppliers, managing the switchboard and correspondence, and supporting the management team and staff with organisational, administrative, and secretarial tasks. They will coordinate meeting room and travel bookings, ensure the tidiness of shared spaces, and monitor office supplies. The role also involves collaborating with various departments to ensure the smooth running of daily office operations.

Key responsibilities:

  • Welcoming clients, suppliers, and colleagues to the office, including checking visitor logs;
  • Handling incoming telephone calls;
  • Providing support to the management team or personal assistant, as required;
  • Assisting with administrative and secretarial duties;
  • Organising travel bookings for team members;
  • Preparing meeting rooms, ensuring they are tidy and ready on time;
  • Managing incoming and outgoing correspondence (emails, certified mail, post, couriers);
  • Maintaining and updating office records and filing systems;
  • Supporting the organisation of small internal events;
  • Collaborating with the communications team on operational tasks;
  • Taking care of the cleanliness and presentation of shared areas, with a strong sense of responsibility and attention to detail;
  • Monitoring and replenishing essential office supplies;
  • Providing general assistance to office staff as needed.

Requirements:

  • At least 1 year of experience in a similar role, ideally within dynamic and international environments;
  • Excellent organisational and coordination skills, with a hands-on approach;
  • Strong interpersonal and communication abilities;
  • Fluent in Italian and English, both written and spoken; knowledge of German is a plus;
