Overview
The ideal candidate is a detail-oriented team player who will be the first point of contact for visitors at the office, greeting them in a polite and well-spoken manner. You will also be assigned duties as required (i.e. organization of inbound and outbound mail, administrative work, and general clerical support).
Responsibilities
- Greeting and welcoming visitors, providing information and escorting them to the appropriate department or person.
- Answering and directing incoming phone calls, responding to emails, and taking messages;
- Managing calendars, scheduling and confirming appointments for individuals or meeting rooms;
- Monitoring visitor logs, issuing security passes, and ensuring the efficient flow of people through the business;
- Filing documents, maintaining electronic databases, and keeping office records up-to-date;
- Maintaining the cleanliness and organization of the reception area, and ensuring efficient daily operations;
- Stationery orders and various needs;
- Bring coffee to visitors and set up meeting rooms;
- Support in organizing events / meetings and their execution;
- General administrative support.
Required Competencies and Knowledge
- High school or professional diploma;
- Minimum 1 year experience in similar role in a structured company;
- Excellent knowledge of Microsoft Word, Excel and Outlook for data management and communication;
- Excellent proficiency in Italian and English language (written and spoken).
