Org. Setting and Reporting

The United Nations Global Service Centre (UNGSC) provides critical Supply Chain, Geospatial, Information and Telecommunications Technologies services and Training to all Secretariat Entities, Peacekeeping and Special Political Missions, Agencies, Funds and Programmes of the UN system worldwide. This position is located in the United Nations Global Service Centre, Brindisi, Italy, in the Global Material Life Cycle Management Unit, within the Supply Chain Service. This position is reports to the Global Property Management Support Team.


Responsibilities

Within delegated authority, the Property Management Assistant will be responsible for the following duties:


  • Interacts with other property management stakeholders such as Peacekeeping Missions, Development Coordination Office/Resident Coordinator Office (DCO/RCO), UN Department of Safety and Security (UNDSS) and providers of services who request property management support and guidance from UN GSC, in particular Self Accounting Units, Procurement Sections, and Local Property Survey Boards, as appropriate.
  • Prepares and submits discrepancy reports, and disposal reports for clients.
  • Process Goods Receipt reports in Umoja if requested.
  • Provides client support when required in the maintenance of accurate and auditable property records in electronic inventory management system for property control and accountability in conformance with administrative instructions, guidelines, manuals and SOPs.
  • Updates all physical verification records and data entry in the UMOJA system as required.
  • Assist stakeholders in application of property management policies and procedures to meet organizational standards and goals set up in the DOS Directives, LSD Guidelines and mission's SOPs.
  • Produces Business Object reports when requested by supervisor.
  • Assist clients in preparation of equipment write-offs and processing of write-off cases through relevant property survey boards.
  • Assists in carrying out Board of Survey as and when required.
  • Prepare statistical analysis and trend analysis on United Nations property.
  • Supervises, trains and provides guidance to the team members.
  • Reviews reports and makes recommendations.
  • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making.
  • Assists with visualizations and updating information material such as web pages or brochures.
  • Performs other duties, as required.

Education

High school diploma or equivalent is required.


Job - Specific Qualification

Technical or vocational certificate in logistics, transportation, or asset management is desirable. Successful completion of both degree and non-degree programs in data analytics, business analytics or data science programs is desirable.


Work Experience

A minimum of seven (7) years of progressively responsible experience in the field of property management, inventory control, logistics, procurement, or other related fields is required. The minimum years of relevant experience is reduced to five (5) years for candidates who possess a first-level university degree or higher. Experience in Property Management transactions through the use of ERP applications is required. Experience working in support of a field operation (inclusive of peacekeeping operations, special political missions, agencies, funds and programmes), or other similar international organizations is desirable. Experience in data analytics or related area is desirable.


Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required.


Assessment

Evaluation of qualified candidates will include an assessment exercise which may be followed by competency-based interview.

The position is financed by extra-Budgetary funds open for recruitment for an initial period of one year. The appointment and renewal thereof are subject to the availability of the post or funds, budgetary approval or extension of the mandate. Recruitment for this position is done on local basis. This position is subject to local recruitment pursuant to staff rule 4.4 of the United Nations Staff Rules.
