Grand Circle is currently seeking candidates for the following position :

Program Service Coordinator based in Rome Office for an American Tour Operator.

6 months fixed term contract.

The successful candidate will be responsible for handling relations with Travel Manager and Trip leaders, resolving quality issues, planning the activities for the tour groups before the season starts in pursuit of our company’s excellence goals, and assisting Trip leaders to achieve excellence goals during the season.

Responsibilities
  • Preparing all materials necessary for Tour Guides prior to the tour
  • Assisting to resolve quality issues related to the tour, itinerary and features included in the program
  • Prescreening for hiring Tour Guides
  • Handle relations with Tour Guides (assigning / changing tour schedule)
  • Handling administrative tasks such as : signing and filing all agreements and timesheets, preparing all Group documents, reviewing all Group and Guide travel expenses, collecting and filing all end of trip documents
  • Data entry and database management to ensure accuracy of company systems
  • Coordinating all logistics for Tour Guide hiring, training trips, and business meetings
  • Interact regularly with travelers on site
  • Use of internal systems GERT, TABLEAU, LOTUS NOTES
  • Assisting Trip Leaders for emergency with passengers
  • Communicate to trip leaders through our Newsletter
  • Organizing logistics with Hiring / Training / Kick off / Events
  • Send results to Trip Leader
  • Review and scan surveys
  • Taking care of logistics of annual meetings
  • Assisting the Manager of Trip Leader in organizing hiring training logistic
  • Selecting Via Zoom potential candidates
  • Posting Job Advertisement
  • Screening CV
  • Assist Trip Leader Manager with Performance Management actions
  • Use of Excel file for administrative tasks
Requirements

Competent, strong, engaging leader with ability to make people feel valued with :

  • 2+ years’ experience in Travel & Tourism Business preferred.
  • Fluent English written and spoken (Company official language : English)
  • Proficient with Microsoft Office package (especially Excel)
  • Strong People Skills & Customer Care Oriented
  • Self-starter who is able respect deadlines and prioritize
  • Demonstrated success in making tough decisions and taking risks
  • Ability to travel 15% of the time and working longer hours
  • Passion for travel
  • HR experience preferable
  • Team work
