Position Summary

Provides administrative support and assistance to the Milan Office Partners, Associates and Trainees.

Responsibilities
  • Prepares documents in Word, PowerPoint, Excel, etc.
  • Performs administrative tasks including preparation of written correspondence and documents using in-house and external style documents.
  • Manages the calendar, schedules appointments, meetings and conference calls; arranges complex travel plans and itineraries.
  • Keeps client contact details and lists up-to-date.
  • Reviews and prepares bills and expense reports for travel and entertainment; submits vouchers for payment; may also prepare and track personal expense information.
  • Assists with the preparation and distribution of monthly reports to all partners and Firm management.
  • Maintains effective and accurate filing systems (hard copy and electronic).
  • Prints, prepares and collates papers ahead of meetings.
  • Attends trainings as required to keep up-to-date with firm-wide procedures.
Skills and Qualifications
  • Fluent English
  • Previous experience in a Personal Assistant / Legal Secretarial role within a law firm
  • Strong Microsoft Office skills
  • Highly organized with a flexible approach

  • Ability to work under pressure and prioritise deadlines
