The opportunity
We are seeking an organized, precise, empathetic, and dedicated People Admin Specialist to join our Human Resources team. This role is essential in providing administrative support. The ideal candidate will be passionate about supporting people, managing administrative tasks efficiently, and has a strong affinity for data and Excel.
We offer a fixed-term contract from October 2025 to May 2026, with the possibility of further evaluations for a future permanent placement.

Responsibilities
- Manage the entire administrative employee lifecycle, from offer letter preparation to contract termination, including pre-hiring processes (commitment, documents, Welcome Pack, shared management of employee files with Payroll Studio, etc.)
- Collaborate with HR teams to ensure smooth integration and support for employees
- Operational interface with Payroll Studio for administrative management
- Data entry of files and notes in the shared folder with Payroll Studio
- Maintain and update employee records across systems, ensuring accuracy
- Perform monthly data analysis and reporting (e.g., headcount, gender breakdown, new hires, resignations)
- Prepare regular reports and metrics for internal and external stakeholders
- Understand main components of personnel costs (salary, contributions, fringe benefits, severance pay)
- Ability to calculate personnel costs
- Solid understanding of at least the CCNL Commercio national collective agreement
- Ability to read and interpret payslips
- Knowledge of travel and work assignment regulations
- Ensure compliance with internal policies and labor regulations
- Excel proficiency, especially functions like VLOOKUP and pivot tables, for daily data processing and reporting
- Experience interfacing with external consultants for procedures and obligations
Requirements
- Bachelor's degree in Economics or a related field
- Previous experience as a People Admin Support (2-4 years)
- Good organizational skills and attention to detail
- Excellent communication skills, both written and verbal, fluent in Italian and proficient in English
- Strong time management and prioritization skills to organize workload and meet deadlines
- Enthusiasm for data analysis, reporting, and related activities
