As our Payroll & Admin Partner for Italy (about 600 headcounts, International Headquarter, commercial business units, plant), you will ensure a sustainable and compliant approach to payroll-admin, labor cost, labor law, and expatriation management. The role focuses on running the above processes, optimizing, enhancing reporting, working with HRBPs and Employees, in strict adherence to legal and company policies, ensuring full alignment to our sustainable values.

This is a key “individual Contributor” role, belonging to the Reward Team (a team of four people), and sharing responsibilities on critical competences, while working directly with HRBPs and Employees (when needed).

What You Will Do

  1. You are going to belong to the HR Payroll Team, reporting to the Global Total Reward Manager, where you will share responsibilities with colleagues on relevant processes related to Employee Relations and Payroll/Admin Management, including Expats.
  2. Work on Italian Payroll Timesheet Management, Employee relations and Admin activities (hiring contracts, exits, admin onboarding…); be the internal point of contact for vendors & local HR (together with HRBPs) managing payroll for domiciled workers in our Subsidiaries; be the reference point for Italian Recruiting Agencies for Leased and Temporary Workers.
  3. Cooperate in managing all legal deadlines and needed data for “Categorie Protette”, including relationship with SILD, collaborating with Talent Acquisition Team.
  4. Ensure compliance with labor law, company policies, and industry regulations related to Employee relations, through HRBPs.
  5. Manage the end-to-end expatriation process, including visa management and tax benefits directly relying on external providers (relocation agencies, tax advisors, immigration consultants…), as well as housing management and direct support for integration in Parma, cooperating with real estate agencies, Davines Group Facility team, local authorities (i.e. central police station, schools for expat children, public medical assistance…) and in close cooperation with HRBPs.
  6. Build and manage employee records, employment documentation, and compliance with legal and data protection regulations.
  7. Drive process improvements, automation, and reporting on key HR metrics, while supporting policy development and employee information.
  8. Cooperate – with the team – to support HRBPs in cases of litigations, disciplinary issues and legal actions, through all needed admin tasks and direct employee management (if needed).
  9. Cooperate in monitoring the budget and the spending of the HR Reward team.
  10. Support the labor cost budget process in all phases, during the year, in cooperation with Finance team and HRBPs, for all relevant data.

Who You Are

  1. At least 5 years’ experience in payroll management and complex Admin tasks.
  2. Preferred Knowledge of the national collective bargaining agreement of the chemical and pharma industry.
  3. Preferred experience in Companies with Plant / consultancy companies working with clients on blue collars.
  4. Knowledge of payroll information systems and mainly “Sistema Paghe” Zucchetti.
  5. Knowledge of Italian labor laws, regulations and industry-specific requirements.
  6. Strong understanding and experience of payroll processes and relevant software systems.
  7. Solid organizational and time management skills with a focus on accuracy and with a keen eye for detail.
  8. Analytical mindset and knowledge of Excel and data generation and elaboration.
  9. Problem-solving skills and ability to handle employee-related issues tactfully and diplomatically.
  10. Excellent communication and teamworking skills.
  11. Strong proactivity, adaptability and flexibility in a dynamic, rapidly expanding organization.
  12. Fluent Italian is mandatory, and at least intermediate English is required.
