We are seeking a talented Office Manager Intern to join our Office Management team in Milan.

The role

The Office Manager Intern will perform a variety of tasks, collaborating daily with different departments. Responsibilities include:

  1. Handling and sorting incoming calls
  2. Welcoming and guiding guests and candidates
  3. Managing company mail and coordinating all incoming and outgoing post
  4. Overseeing meeting room bookings and supporting event coordination
  5. Building and maintaining relationships with suppliers, requesting quotations, and ordering office supplies
  6. Creating ad hoc reports
  7. Supervising facilities management activities, including maintenance, Health & Safety, and office space coordination
  8. Managing the company's car fleet
  9. Collaborating with the Office Management teams in France, Germany, and Spain
  10. Supporting HR onboarding activities, including managing IT assets and meal vouchers

Requirements

Ideal candidates are interested in joining an international, dynamic team and enhancing their administrative skills. Requirements include:

  • Fluent in English and native Italian (additional languages are a plus)
  • Familiarity with G Suite
  • Excellent problem-solving skills
  • Ability to handle sensitive and confidential information
  • Strong teamwork and communication skills, proactive approach
