About the role

The Office Manager of the Milan office is a vital role, providing guidance and advice to all managers, supervisors, attorneys, and staff on the general business operations of the firm. A key part of this role is supervising and developing staff across various functional areas, in collaboration with global colleagues. The Office Manager also acts as a business partner within Latham’s global matrix organization. Key responsibilities include:

  1. Working closely with the Office Managing Partner to administer department accounts, approve expenses, and prepare the annual budget for the office in line with firm-wide guidelines. Review variances monthly, providing analysis and reports to manage the office budget effectively throughout the year.
  2. Collaborating with firm Directors, Office Administrators, and other responsible parties to interpret and monitor the implementation of the Firm's practices, policies, and procedures; ensuring alignment with the firm's strategic goals.
  3. Acting as a liaison to managers, supervisors, and attorneys regarding all operations supporting client services and the needs of the legal staff. Providing high-level support and resources to all partners and employees within the practice office.
  4. Researching, developing, and recommending approaches to management issues. Collaborating with attorneys, managers, supervisors, and staff to implement solutions and resolve issues. Planning for the changing needs of the Firm and practice office, contributing to cost-effective management.
  5. Coordinating internal communication efforts with Latham management to develop office initiatives and educate staff about recent developments and trends.
  6. Monitoring and supporting billing processes, including reviewing WIP and A/R balances. Analyzing monthly billing and collections reports and providing background information to senior management. Ensuring adequate staffing to maximize billing and collections efforts. Acting as a business partner for the global real estate department regarding landlord relations, lease negotiations, office construction projects, and optimal use of office space.
  7. Collaborating with global and practice-specific Office Administrators and Directors on special projects as needed.
  8. Promoting effective work practices and a collegial atmosphere, working as a team member, and respecting colleagues.
About you

We’d love to hear from you if you:

  • Possess strong general management skills and a willingness to develop expertise in finance, human resources, operations, technology, change initiatives, and planning.
  • Have excellent leadership skills (organizing, planning, problem-solving, decision-making) essential for effective management, complemented by professional interpersonal skills to interact effectively at all organizational levels.
  • Can demonstrate creative thinking and engage with senior management on organizational and operational topics.

And have:

  • Full proficiency in Italian and English.
  • At least five (5) years of progressively responsible office management experience. Experience within legal or professional services is advantageous but not essential.
  • Bachelor’s degree (or equivalent) in Business or a related field.
