Reporting to the Office Manager in the Milan office, the Junior Office Manager has a key role in the company to help with the office and work events organisation and increase the employees’ satisfaction and engagement.

We are looking for an enthusiastic, fun and amicable person that loves to work with people and has exceptional organisation and coordination skills.

Key responsibilities

  • Support the management of the reception, becoming the welcoming face to all our employees, clients and visitors and will liaise with staff and suppliers.
  • Handling of installation, equipment, providers of office material, cleaning service, catering services, etc.
  • Maintaining proper stock levels
  • Manage daily facilities and operations to ensure team satisfaction is at the highest level :
  • Solving or reporting issues as they arise
  • Make internal processes more effective and efficient.
  • Taking care of the daily administration basics and financial reporting assisting the accountant with invoicing and to justify all purchases
  • Management of relationships with vendors and service providers for the correct logistics of the office : Challenge and renegotiate providers rates regularly
  • Be the referent person for travel reservations for management and office staff
  • Work closely with all the OfficeX team members of the other TheFork offices around the world to optimise the resources and procedures of the department.
  • Being a strong support on corporate events : afterworks, team buildings, management seminars, global conventions, etc.
  • Giving support remotely other offices on wellbeing and facilities : Turin, London, Amsterdam and Stockholm.

This job is for you if you have :

  • Min. 3 years of experience in the same position in a similar environment and similar sized company.
  • A positive and friendly attitude
  • An excellent time management skills and prioritise work
  • An experience in the event organization (and so have strong organisational and planning skills)
  • Ability to develop effective working relationships with employees at all levels and
  • You are an attention to detail, proactive and problem solving person
  • Autonomous in your work and you like to take initiatives
  • Fluent in English and Spanish (Excellent written and verbal communication skills in both languages)
  • Flexibility and ability to work in a dynamic and changing environment
