Office Manager

The Office Manager ensures smooth daily operations by managing office infrastructure, procurement, and logistics. They coordinate travel and provide administrative support to executives while maintaining records and vendor relations. This role blends organization, communication, and multitasking to keep the workplace running efficiently.

RESPONSIBILITIES

Office & Fleet Operations

  • Oversee maintenance, upgrades, and general management of office infrastructure and assets.
  • Coordinate with relevant stakeholders to uphold office safety and compliance standards.
  • Manage the booking, documentation, and usage of company vehicles.
  • Document Management & Compliance
  • Maintain a structured and secure filing system for relevant business documentation.
  • Administer insurance contracts, monitor deadlines, and manage renewals in collaboration with CFO, Legal, and HR departments.

Purchasing Management

  • Independently manage recurring purchases and oversee the end-to-end procurement process, including request for quotation, negotiation, order placement, and follow-up.
  • Ensure timely delivery by monitoring deadlines and coordinating shipment administration.
  • Handle corporate correspondence and manage office-related purchasing requests as part of the procurement workflow.
  • Supplier Scouting & Logistics Coordination
  • Identify and evaluate new suppliers; monitor and assess supplier performance.
  • Manage all logistics documentation and coordinate company shipments efficiently.

Reception & Visitor Management

  • Answer and redirect incoming calls with professionalism and accuracy.
  • Welcome and assist visitors, candidates, and external guests.

Travel Desk & Executive Support

  • Organize business travel (flights, accommodations, and transportation) for the CEO and executive team via the dedicated travel platform.
  • Support the AFC and HR teams in processing and verifying expense reports, ensuring compliance with the company’s Travel Policy.
  • Provide high-level administrative support, including scheduling, coordination, and communication for executive leadership.

REQUIREMENTS

Mandatory

• Fluent English, both written and spoken.

• Proficiency in enterprise ERP systems and Microsoft Office suite.

Preferred

•Experience in supply chain operations.

• Solid understanding of procurement and administrative processes, preferably within a supply chain context.
