Job Title: Office Manager

Key Responsibilities
Leadership & Oversight
- Manage the SiGMA HQ office and ensure smooth day-to-day operations.
- Set priorities, assign tasks, and oversee quality of work related to office support, maintenance, and coordination.
- Act as the escalation point for any operational or facility-related issues.
Office, Property & Facility Management
- Oversee the general upkeep and functionality of the office, building, and company-leased apartments.
- Take full responsibility for managing the daily operations of the property, including coordinating with landlords, handling repairs, and ensuring both the building and individual apartments are well-maintained and in top condition.
- Manage household and office-related budgets, including groceries, cleaning supplies, and other consumables.
- Coordinate shifts and schedules for cleaning staff to maintain high cleanliness standards across all facilities.
- Ensure the workplace and residential spaces are well-stocked, safe, and welcoming for employees, residents, and visitors.
- Handle incoming/outgoing post and special deliveries.
Vehicle Management
- Drive and maintain the company vehicle, ensuring it is kept in good condition with valid insurance, MOT, and regular servicing.
- Use the vehicle for errands, pickups, or transport needs related to office or residential operations.
Vendor & Supplier Relations
- Manage key vendor relationships (e.g., cleaning services, utility providers, office suppliers).
- Negotiate and maintain supplier agreements to ensure cost-effectiveness and reliability.
- Track and approve invoices related to property and office operations.
Travel & Accommodation Coordination
- Manage accommodation needs for business visitors and relocating staff.
- Oversee readiness and upkeep of company-leased apartments or staff housing in collaboration with landlords.
People Experience & Onboarding
- Oversee welcome tours, new joiner welcome packs, and desk or room setups
- Coordinate birthday celebrations and internal events (e.g., cakes, decorations).
- Support company events, team gatherings, and office-hosted PR visits.
