Overview

We are seeking an Assistant to serve as our point of contact for office management, based in our Milan office.

Responsibilities

Your Responsibilities will Include but not be limited to:

  • Secretarial support: managing travel reservations, correspondence, archives, administrative procedures, editing reports, publications, and presentations.
  • Providing general support to visitors.
  • Office management: overseeing office maintenance, supplies, and equipment (stationery, kitchen, IT). assisting in organizing internal meetings. participating in onboarding new employees.
  • Fleet management: supporting the CFO in managing the company car fleet (maintenance, taxes, administration, fines).
  • Marketing support: assisting in planning events and communication activities, organizing meetings (both in-person and online), handling mailings, participant registration, reservations, information dissemination, and preparing presentation materials. supporting the HR team in creating marketing materials for recruitment events.

Qualifications

The skills that will best prepare you for the job include:

  • Fluency in Italian and English (both written and oral)
  • 1 to 3 years of experience as an Office or Administrative Assistant
  • Strong organizational and time management skills
  • Proficiency with IT and computer packages (excellent Word and PowerPoint skills)
  • A positive attitude, confidence, and the ability to remain calm and tactful under pressure
  • Attention to detail and accuracy
  • Discretion
  • Good team attitude

Work Mode: On-site work is required due to the nature of the role.

Contract Type: Depending on your seniority, you may start with a fixed-term contract, which could lead to a permanent position.
