About the Role

We are seeking a highly organized and proactive Office Administrator to support the efficient operation of our office. You will handle administrative tasks, assist departments, and serve as the first point of contact for visitors and internal teams, playing a key role in maintaining a positive workplace environment.

Key Responsibilities

  • Manage administrative tasks such as correspondence, document handling, and data entry.
  • Serve as the first point of contact for visitors, vendors, and external service providers.
  • Maintain physical and digital records related to office operations and compliance.
  • Monitor and restock office supplies; coordinate cleaning and maintenance schedules.
  • Manage workspace organization and support office system maintenance.
  • Assist HR and finance teams with onboarding, expense tracking, and invoicing.
  • Coordinate equipment deliveries and returns with managers.
  • Support logistics for business travel and office visits.
  • Act as liaison between staff, management, and external partners for office matters.
  • Assist with budget tracking and cost reporting.
  • Schedule and follow up on maintenance and repairs.
  • Ensure health & safety compliance in collaboration with consultants.
  • Manage access control and enforce security policies.
  • Organize logistics for internal events, meetings, and social initiatives.

Requirements & Qualifications

  • Enrolment in the “Categorie Protette” (L.68 / 99) is mandatory.
  • Proven experience in administrative or office support roles.
  • Good knowledge of English (spoken and written).
  • Excellent organizational, multitasking, and communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Diploma or bachelor’s degree in Business Administration or a related field is preferred.
