Una Leading Company in waste management sta cercando un Office Administrator a Bra, Italia. Sarai responsabile dell'amministrazione operativa quotidiana, delle relazioni con i clienti e della gestione dei documenti. Questa posizione richiede almeno 2 anni di esperienza e competenze interpersonali e di comunicazione eccellenti.

Competenze

  • Esperienza minima di 2 anni in servizio clienti o amministrazione d'ufficio.
  • Capacità di lavorare in modo indipendente con supervisione minima.
  • Licenza di guida valida e trasporto affidabile.

Descrizione del lavoro

Under the direction of the Branch Manager, the Office Administrator is responsible primarily for the day-to-day operational administration of the location or branch, involving client reception, logistics, scheduling, purchasing, and billing.

Key Responsibilities :

  1. Greet client personnel at the reception window upon their arrival and professionally expedite them through the queue, dealing with conflicts and issues that may arise.
  2. Document and maintain waste receipt/shipment records, ensuring the completeness and accuracy of all entries, including Waste Manifests, Bills of Lading, and work orders.
  3. Follow applicable regulations regarding the transportation and management of waste.
  4. Ensure all internal and regulated documents are completed correctly and organized, including lab analytics work orders, BOLs, manifests, hazard assessments, etc., and are completed daily.
  5. Prepare work orders based on confirmed service requests and complete billing following job and material acceptance, with strong attention to detail and accuracy.
  6. Handle general customer and facility inquiries and direct them to appropriate parties.
  7. Investigate and resolve customer complaints effectively, based on established policies and procedures, with a focus on customer satisfaction and appropriate escalation.
  8. Create and maintain customer accounts, waste classification, and pricing profiles within our CRM system.
  9. Prepare waste diversion and other reports for customers and management upon request.
  10. Work cohesively with facility operations staff to meet client expectations and enhance service offerings and value proposition.
  11. Perform general office administration, including electronic and paper-based storage and filing.
  12. Assist with procurement and purchasing as required.
  13. Assist with processing hours for payroll purposes.
  14. Perform other tasks as assigned.

Knowledge, Skills, and Key Competencies :

  • Valid Driver's License and reliable transportation, as this role is in a remote location.
  • Post-secondary education or equivalent experience in a business administrative environment is an asset.
  • Minimum of 2 years customer service and/or office administration experience.
  • Strong interpersonal skills with the ability to develop and foster professional relationships.
  • Conflict resolution skills in a fast-paced, high-volume environment.
  • Motivation to gain industry knowledge within waste management to develop professional skills.
  • Excellent verbal and written communication skills.
  • Ability to independently resolve problems within scope and escalate when necessary.
  • Ability to work independently with minimal supervision.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with Operation Management Systems, Workday, and payroll platforms is an asset.
