Olympic Broadcasting Services (OBS) was created by the International Olympic Committee in 2001 in order to serve as the Host Broadcast organisation for all Olympic Games, Olympic Winter Games and Youth Olympic Games.

The Host Broadcaster is responsible for delivering the pictures and sounds of the Olympic Games to billions of viewers around the world. It produces and transmits unbiased live radio and television coverage of every sport from every venue. This feed is called the International Signal or the World Feed.

In March 2018, a Cooperation Agreement between the IOC and the International Paralympic Committee (IPC) was signed, ensuring that OBS will serve as the Host Broadcaster for future Paralympic Games as well.

Olympic Broadcasting Services S.L. is the corporate entity that is charged with operating OBS in Madrid, Spain.

About the role :

The Motorpool Coordinator manages drivers and vehicles for the Games, coordinating transportation requests and ensuring smooth operations. This role involves daily communication with drivers, vendors, and requesters, using Excel and other tools to manage data and schedules. Ideal candidates will have strong organizational skills, experience in transport management, and the ability to work in a fast-paced environment. This person will be stationed just outside the International Broadcast Centre (IBC), near the secured fleet.

Duties & Responsibilities :

  • Manage transportation requests via the app, ensuring proper vehicle allocation (cars, minivans, buses).
  • Communicate with vendors to provide specific vehicles at designated times.
  • Schedule drivers’ shifts according to operational requirements, customers’ requests, event schedules, and other factors.
  • Handle communication with requesters, offering alternative transport options if needed.
  • Use Excel and other online tools to manage data and schedules.
  • Coordinate with the Transport Manager and dispatchers to ensure smooth operations.
  • Give drivers the necessary folders for their vehicles and ensure vehicles are returned to the parking area after use.
  • Assist Dispatchers in keeping the vehicle fleet in good condition and assistance with the collection / return procedures of the vehicles.
  • Arrange for repairs when needed, ensuring there are no disruptions to services and schedules.
  • Immediately report any incidents, accidents, or vehicle breakdowns to the Motorpool Supervisor.
  • Ensure timely ordering of supplies and equipment (e.g., high visibility jackets, medical kits, cleaning cloths). Distribute these items to drivers as needed.
  • Perform various clerical tasks, such as compiling data, preparing reports, answering calls or messages, and processing requisitions.
  • Oversee maintenance and enforce health and safety regulations.
  • Understand and follow the organizational structure, working closely with supervisors, coordinators, dispatchers, and drivers.

Skills & Experience Requirements :

  • Must be fluent in English and Italian. Additional languages (French, Spanish, German, Mandarin / Chinese) are an asset.
  • Prove experience of MS Windows OS and related software (MS Office package) and ability to learn software packages quickly.
  • Hold all necessary permits, licenses, and authorizations required to work in Italy with valid driving license with at least 2 years of driving experience.- Minimum B License. Must be at least 21 years old at the start of the assignment.
  • Have at least 1 year of personnel management experience or 2 years of event operations experience at international events.
  • Experience in liaising and interacting with drivers and coordinate and problem solve as needed. Having the ability to communicate effectively and respectfully with regardless of individuals background, communication or experience level.
  • Must be physically capable of walking, driving for extended periods, and sitting for long durations as required and ensure no physical limitations that would impede the ability to perform job duties, such as back issues that affect driving, sitting, or walking.
  • Must possess strong emotional resilience, patient and have the ability to remain calm under pressure.
  • Capable of handling high-stress situations and managing complaints effectively.
  • Demonstrates excellent conflict resolution skills and the ability to maintain professionalism in challenging circumstances.
