An international landscape architectural firm is looking for an Administrative Assistant to join their Milan office. Responsibilities include maintaining administrative processes, supporting project control, managing procurement, and coordinating accounting activities. The ideal candidate has completed a commercial apprenticeship, possesses several years of experience, and is fluent in both Italian and English. German is a plus.

We are an international firm based in Switzerland with branches in New York, Miami and Milan.

Responsibilities
  • Administrative Assistant - 50% (a) - Milano IT
  • Maintenance of administrative process workflows (up to date and efficient)
  • General administration
  • Project control support and planning with the management
  • A / R (account / receivables) FUP (Fair User policy) and cash collection
  • Procurement management coordination (Purchase Orders and Contracts)
  • Delivery notes coordination and control, to secure delivery Quality Control
  • Vendors Purchase Order, Delivery and Invoice 3-way matching
  • Support expense report process
  • Coordination of accounting and reporting activities with the financial service provider
  • Support company secretarial activities and interface with insurance, banking, and auditing firms
  • Finance and HR interface with Enea HQ and the financial services provider
Qualifications
  • Successful completion of a commercial apprenticeship or further training in the commercial field.
  • Some years of experience from similar functions
  • Good knowledge of MS Office
  • High Italian and English skills - German is an advantage
