The Role and What You’ll Do :

The Project Manager for On Location, Milan 2026 Hospitality team, will play a central role in collaborating with over 20 functional areas across On Location to sell, market, plan, and deliver Olympic & Paralympic Hospitality services.

Main responsibilities will include :

• Collecting and evaluating project deadlines, milestones, and deliverables across functional areas.
• Monitoring project health and summarizing progress according to milestones set at the rights holder partner level or by the On Location functional areas, ensuring all parties are on track with requirements, deadlines, and schedules.
• Identifying risks or delays that may require escalation to executive leadership to prevent impact on dependent milestones.
• Tracking and communicating project progress at the partner level with the Organizing Committee and IOC, working closely with them.
• Coordinating meetings and project deliverables with partners and internal teams, often serving as a client-facing team member.
• Preparing status reports by gathering, analyzing, and summarizing relevant information.
• Establishing and maintaining effective communication plans and ensuring their execution.
• Facilitating change requests and informing all parties of impacts related to schedule, partners, or finances.
• Serving as a central hub of information and support for the team, emphasizing internal and external communication and relationship building.
• Collaborating with cross-functional teams to keep all stakeholders informed.
• Supporting special projects within the Olympic Hospitality team from inception to completion, working with stakeholders to define concepts and create processes, including managing client expectations and developing detailed plans.
• Utilizing project management systems and new tools effectively, providing training as needed.
• Driving alignment across teams, integrating functions, and optimizing processes, coaching teams and leaders toward efficiency.
• Establishing operational accountability, such as checklists and quality assurance tests, and sharing best practices across event teams to ensure data integrity and system consistency.
• Working comfortably with diverse individuals, navigating learning situations, and adapting interactions and outcomes as needed.

A successful project manager must maintain open and honest communication, foster working relationships, and motivate team members to build and sustain a dynamic team mentality.

Monitor Project Progress and Set Deadlines :

Organization and follow-through are critical. The project manager must create accurate timelines, ensure tasks are completed on schedule, and stay aware of project progress.

The project manager also anticipates potential delays, especially on the client side, and keeps the team informed of any changes in client needs.
