Job Description

You will ensure efficient and smooth day-to-day administrative support for the Business Development and Legal functions, both based in HQ and European subsidiaries. Your responsibilities include:

  • Handling sensitive client and partner communications
  • Preparing reports and presentations, ordering office supplies, and collaborating on projects
  • Organizing business trips, managing time and attendance, and handling expense reports
  • Writing tender documentation under the guidance of proposal managers, primarily in English
  • Managing tasks related to the commercial register and Ultimate Beneficial Owner
  • Updating customer communication systems, Legal Tool, and Intranet
  • Supporting the onboarding process for new employees

Qualifications

  • At least 5 years’ experience as an administrative or project assistant, preferably within an international matrix organization (industrial environment)
  • Fluent in English and Italian
  • Good knowledge of MS Office and tendering procedures
  • Experience in organizing meetings/events and managing travel/expenses
  • Proactive attitude, impeccable manners, and effective communication skills
