Job Description - HR Administration & Payroll Specialist
Our manufacturing company, specializing in equipment for the specialty coffee industry, is seeking an HR Administration & Payroll Specialist for our office in Scarperia e San Piero (FI). We are looking for proactive individuals with a strong initiative, openness to change, and innovation. In this role, you will actively participate in various HR processes, including:
- Management of employment contracts, terminations, transformations, in collaboration with labor consulting firms and staffing agencies;
- Preparation of administrative documentation related to employment relationships;
- Management of disciplinary procedures;
- Communication flows with the delegated Labor Consultant regarding hires, terminations, variations, and monthly attendance;
- Data entry and maintenance of personnel records;
- Verification of changes, processing, and reconciliation of monthly attendance data;
- Active participation in payroll management, including payroll slip control and consolidation;
- Management of monthly meal vouchers;
- Monitoring of contractual and other administrative deadlines;
- Development and maintenance of operational procedures related to personnel administration;
- Contacts with staff regarding employment administration and support in understanding payslips;
- Management of insurance policies, including additions, exclusions, and administrative tasks;
- Monitoring correct allocation of company cost centers;
- Mandatory communications and compliance with labor consultants and institutions (Inps, Inail, etc.) on periodic, annual, and monthly basis;
- Management of bilateral entity reimbursements;
- Support in corporate performance processes, from evaluation sheet creation to bonus calculation;
- Supervision of the corporate Welfare platform, including data management and utilization analysis.
You are the right candidate if you have:
- 2-3 years of experience in structured companies or labor consulting firms;
- Experience in payroll processing;
- Diploma and/or degree in legal and/or economic disciplines;
- Proficiency in corporate management software; knowledge of Zucchetti is preferred;
- Good written and spoken English skills;
- Accuracy, precision, and strong communication skills;
- Analytical, evaluative, and monitoring abilities;
- Time management and prioritization skills;
- Team spirit and ability to coordinate with different roles within the team.
