Competenze

  • Working knowledge of the hospitality and tourism industry is an advantage.

  • About You

We are looking for a Ground Operations Coordinator an engaging and performance-oriented professional who is flexible, collaborative, self-starting and highly organized. This role will require a keen eye for detail and the propensity for dynamic and unique problem-solving. You will be the face of our company, ensuring an outstanding level of customer service, supporting and nourishing the network of guides and suppliers and taking ownership of all issues that need to be managed to secure smooth operations and prompt departures of tours.

This role is suitable for someone who enjoys being active, meeting people and being part of a team. Your work will keep you on your toes with new challenges every day and new problems to solve.

This role will be based in Venice responding to Director of Guide Development.

You would need to be available to work on a flexible schedule with the occasional need to be present for off-schedule events and travel.

  • Your responsibilities
  • Before the tour coordination
  • Venue / supplier reconfirmation, event and ticket audits
  • Be available to assist Operations team with last minute guide, ticket or customer issues
  • During the tour coordination
  • Welcoming guests and taking care of onsite client check-in
  • Welcoming guides and assigning them to their groups
  • Elevate customer experience by addressing, actioning or escalating any questions or issues
  • Ticketing : ensure optimal use of reservations, tickets and vouchers
  • Accounting : Cash and Voucher distribution and tracking
  • Material and Branding : distribution of the material to clients, guides and suppliers
  • Providing on the ground support for headsets management
  • After the tour coordination
  • Ensuring our record of the event, tickets used, customer no-shows and other variables are correct and up to date.
  • Participating in the tour performance monthly review / feedback sessions
  • Workflow support
  • Assist the City Manager in the day-to-day interactions with local suppliers including guides, transport providers, headset providers, sites, and venues. Suggest tour revisions to City Manager
  • Workflow support for central operations team where volume requires (particularly low season or large ticket purchases)
  • Workflow support for City Manager where volume requires (guide hiring, guide events etc.)

  • Excellent organizational and time management skills
  • Tech savvy with the ability to learn multiple company systems in a fast-paced environment
  • High attention to detail required
  • Excellent team player with the ability to be calm and consistent under pressure
  • Strong communication and interpersonal skills with high level of comfort working with diverse set of customers and suppliers
  • Proficient in English and Italian, other languages a plus
  • Working knowledge of the hospitality and tourism industry is an advantag
