Your role at KIKO MILANO

We are seeking a Global Lease Administrator to join our Real Estate Team, reporting to the Global Lease Manager.

This role involves managing over 850 lease contracts across 18–20 countries, ensuring the lease administration system functions smoothly. The position requires structured coordination, attention to detail, and collaboration with departments such as Real Estate, Legal, and Finance at both HQ and country levels.

Key responsibilities include:

  • Managing global routines for lease contracts and appendices across all directly operated countries
  • Ensuring timely signing and uploading of lease contracts into the system
  • Maintaining 100% accuracy of key data (e.g., expiry dates, break clauses, notices) aligned with physical contracts
  • Collaborating with Real Estate, Legal, and Finance teams to ensure data consistency
  • Providing training and guidance on data entry and system use
  • Monitoring and improving lease administration processes
  • Reviewing and securing payments related to leases, facilities, and construction at HQ
  • Supporting rent budgeting and forecasting
  • Understanding accounting routines for payment cycles
  • Presenting data summaries quarterly to stakeholders
  • Monitoring external vendors and tracking KPIs for landlords and service providers

Qualifications needed:

  • At least 5 years of experience in lease administration, contract management, or similar roles in retail
  • University degree in Law, Business Administration, or equivalent
  • Familiarity with accounting tools (e.g., SAP)
  • Fluency in English
  • Strong organizational and analytical skills
