Your role at KIKO MILANO

We are looking for a Global Lease Administrator to join KIKO MILANO’s Real Estate Team, reporting to the Global Lease Manager.

Such talent will ensure the well-functioning of the lease administration system, managing over 850 lease contracts across 18–20 KIKO countries. The role requires structured coordination, strong attention to detail and collaboration across departments such as Real Estate, Legal, and Finance at both HQ and country level.

In particular, you will:

  • Coordinate and manage global routines for lease contracts and appendices implemented across all directly operated countries
  • Ensure timely signature and upload of all lease contracts in the lease administration system
  • Maintain 100% accuracy of key data (e.g. expiry dates, break clauses, notices) in the system, aligned with physical contracts
  • Collaborate closely with Real Estate, Legal, and Finance teams to ensure consistency and reliability of lease-related data
  • Provide guidance and training to local functions for proper data entry and system usage
  • Monitor and improve lease administration routines and propose process optimizations
  • Consolidate, review, and secure payments related to leases, facilities and construction at HQ level
  • Support rent budgeting and forecasting processes
  • Understand accounting timelines and routines for payment cycles
  • Present data and summaries on a quarterly basis to internal stakeholders and management
  • Monitor external suppliers and track performance KPIs for landlords, facility managers and construction vendors

What you will need to succeed

  • 5+ years of experience in lease administration, contract management, or similar roles within the retail industry
  • University degree in Law, Business Administration or equivalent
  • Familiarity with accounting practices and tools (e.g. SAP)
  • Excellent organizational and analytical skills
