Overview

FirstMed Milan is looking for enthusiastic Front Office & Administrative Assistants who can support the team on alternating days from Monday to Friday.

If you are fluent in both English and Italian and would like to start your career at our dynamically growing medical company, here is the deal!

Responsibilities
  • Respond to patient inquiries via website, email, and WhatsApp, including appointment cancellations and rescheduling according to clinic protocols.
  • Greet patients and visitors courteously and respectfully.
  • Accurately register patients in a timely manner, ensuring all information is correct, insurance is verified at the time of registration, and all required signatures are obtained.
  • Communicate with insurance providers to gather information on patients’ healthcare coverage.
  • Coordinate with doctors regarding their schedules, patient appointments, and sharing exam results or other prescribed visits.
  • Take clear and accurate messages on behalf of other departments and maintain strong communication and collaboration with them.
  • Demonstrate professionalism, active listening, and a collaborative approach when interacting with patients and healthcare team members.
  • Support the development of the FirstMed customer journey by working closely with the executive team and operations department.
  • Liaise with external service providers (e.g., Vettore, cleaning service, water supplier, phone service, Doctolib).
  • Assist with insurance-related tasks, including completion of medical claim forms, in collaboration with the Operations Specialist in Rome.
  • Prepare and send lab test results to patients via email.
  • Generate and maintain CRM reports.
  • Complete revenue reports in Google Docs.
  • Scouts for the most relevant events to boost company awareness and takes part in these events as a FirstMed representative.
