Visit.org is looking for an experienced, responsible, and driven Freelance Event Specialist, based in Milan, Italy, to help us manage the logistics of an upcoming in-person event. The right candidate will have corporate event experience, an entrepreneurial spirit, extreme passion for our mission, and the energy and discipline to thrive in a start-up tech environment.

Some of our customers include Colgate, Paramount, Visa, Ancestry, Tommy Bahama, and more.

Responsibilities:

  • Coordinate all event details, shipping materials, and staffing. Be our onsite event coordinator for fun, engaging, team-building activities that support a great cause.

  • Join virtual planning meetings ahead of each event with corporate partners, nonprofit partners, Visit.org event hosts, and coordinators.

  • Take ownership of in-person events: set up, align with the onsite team, tear down, clean site areas, and ensure a high-quality customer experience.

  • Act as the Visit.org representative and problem solver at events.

  • Align roles and responsibilities with the onsite team, including event hosts, nonprofit organizations, venues, and corporate partners.

  • Manage the check-in process for in-person events, providing a warm and friendly welcome to guests.

  • Problem-solve issues such as missing supplies, late staff, and technology challenges.

  • Escalate issues to the Events Team when necessary to keep them informed or help problem-solve.

  • Send consistent updates, photos, and videos to the Events Team throughout the event.

  • Assist with breakdown after the event ends, helping to clean the site and repackage materials.

Qualifications:

  • Fluency in English and strong communication skills.

  • Based in Milan, Italy.

  • Schedule flexibility with availability to work on a contract per-event basis.

  • Experience in complex, large-scale events and smaller executive-level intimate events.

  • Experience in executing high-level events and continuously raising the bar on content and customer experience.

  • Resourceful, able to exhibit grace under pressure, and solutions-minded in ambiguous situations.

  • Quick thinker with the ability to problem-solve on the fly.

  • Self-starter who is organized and detail-oriented.

  • Enjoy building relationships with customers and providing excellent customer service.

  • Experience with group facilitation and managing group dynamics.

  • Ability to work flexible hours, including nights and weekends, as needed.

  • Willing and eager to travel to various areas of the local region.

  • Strong interpersonal and customer service skills, especially in fast-paced situations.

  • Able to wear many hats and take on varied tasks and projects.

  • Comfortable interacting with large crowds.

Physical Demands:

  • Able to lift, slide, and carry up to 30lbs.

  • Able to stand for extended periods.

What we offer:

  • This is an on-location, in-person, per-event contract role in Milan, Italy. This role is open only to candidates already based in Milan, Italy. No relocation packages are offered at this time.
