WORKPLACE: HQ - San Martino di Lupari (PD).


KEY RESPONSIBILITIES:


FLEET MANAGEMENT


  1. Purchase vehicles to expand and/or enhance the fleet with a focus on sustainability;
  2. Negotiate car rental and car leasing contracts and terms;
  3. Manage the Company car pool;
  4. Schedule regular maintenance on all vehicles;
  5. Coordinate Drivers communications and advice;
  6. Manage vehicle licensure and registration;
  7. Manage company Fuel cards and Highway pass (Telepass);
  8. Ensure all drivers have proper and valid documentation;
  9. Provide reports to management on budgeting, schedules, maintenance and fleet progress;
  10. Develop methods to decrease fleet cost and improve efficiency.

TRAVELS


  1. Develop and implement travel policies and procedures that align with the organization’s objectives and budget;
  2. Oversee the planning and booking of travel arrangements for employees and clients, including flights, accommodations, transportation, and other travel-related services;
  3. Manage and develop relationships with travel agencies (e.g. UVET) and vendors (e.g. Hotels, Restaurants, etc.), providing specific reports and action plans related to travel risk management;
  4. Negotiate contracts terms or rates with travel service providers, globally;
  5. Negotiate and manage travel insurance policies with brokers;
  6. Provide advice on travel documents, insurance, import/export regulations, ensuring compliance with legal and regulatory requirements related to travel;
  7. Handle credit card programs and charges, in collaboration with the Finance department;
  8. Manage Company travel software and integrations with HR ERP software (Zucchetti – ZTravel and ZCarFleet);
  9. Monitor Company travel expenses and ensure compliance with travel policies, identifying cost-saving opportunities;
  10. Provide exceptional support to internal and external stakeholders, addressing their travel needs and concerns effectively;
  11. Drive continuous improvement of travel programs, staying updated on industry trends, travel advisories, and best practices.

REQUIREMENTS


  1. Proven work experience as a Travel and Fleet Manager;
  2. High school diploma or equivalent; Bachelor’s degree is preferred;
  3. Knowledge of international travel regulations, customs, and currencies;
  4. Knowledge of T&E reporting and processing;
  5. Working knowledge of MS Office and Corporate Travel Management software;
  6. Excellent communication (oral and written) and negotiation skills;
  7. Well-organized and reliable;
  8. An analytical mind with a strong corporate approach;
  9. Customer-oriented approach.
