We are a boutique advisory firm specialised in social impact operating across the globe with offices in Italy and the UK. As we continue to scale, we’re seeking a detail-oriented Finance and Administrative Officer to strengthen our financial operations and administrative backbone.

Job Summary

We seek an experienced finance and administration professional to manage the complete financial ecosystem of our dual-jurisdiction startup. This role combines strategic financial management with hands-on administrative operations, requiring expertise in multi-country compliance, detailed financial reporting, and operational efficiency. The ideal candidate thrives in a fast-paced startup environment while maintaining the precision required for financial operations.

Key Responsibilities

BUDGETING & STRATEGIC FINANCIAL PLANNING

  • Budgeting : Lead the budgeting and forecasting process on a recurrent basis with business units’ heads and managing partners
  • Variance Analysis : Provide monthly budget vs. actual analysis with commentary on key variances
  • Financial Forecasting : Support strategic planning with rolling forecasts and scenario modelling
  • Cost Control : Monitor and report on cost centre performance and implement cost optimization initiatives via custom dashboards

FINANCIAL MANAGEMENT & REPORTING

  • Expense Management : Process and reconcile expense reports, invoices, and payroll across Italy and UK entities
  • Financial Documentation : Maintain comprehensive digital archives of expense reports, invoices, payroll, tax forms, pensions, social contributions, and other regulatory filings
  • Cash Flow Management : Provide weekly cash flow updates and maintain rolling 13-week projections
  • Monthly Financial Reporting :
  • Compile monthly expense summaries by person for UK / Italy operations
  • Generate monthly payable / receivable invoice summaries for both jurisdictions
  • Produce monthly payroll summaries by person for UK / Italy
  • Track monthly taxes and charges by person for both countries
  • Prepare income statements, balance sheets, and cash flow statements for both entities
  • Prepare monthly reconciliation of all business bank accounts across both jurisdictions
  • Payroll Processing : Execute salary payments and pension contributions
  • Tax Compliance : Authorize and process payments and submissions, understanding of fiscal regimes and willingness to constantly remain updated
  • Vendor Management : Process supplier invoices, manage payment schedules, and handle collection follow-ups
  • Regulatory Portals : Navigate and maintain compliance through Italy and UK Portals
  • Credit Management : monitor and act on debt collection procedures and maintain accounts receivable aging reports

ADMINISTRATIVE OPERATIONS

  • Administration : Coordinate between Milan and London operations, supporting remote and hybrid working arrangements and team duties
  • Logistics Coordination : Organize company logistics including equipment, business travels, team meetings, and events coordination
  • Vendor Contract Management : Optimize recurrent contracts prior expiration or variation according to evolving business needs
  • Procurement : Manage and update company registrations on public procurement platforms and ensure tender compliance
  • Document Management : Maintain organized digital filing repositories and ensure document retention compliance
  • Internal Policies : Support in updating internal policies and procedures ensuring that all personnel comply and is fully aware.
  • As per IT policy supervise the IT administrator in all mandated activities and provide IT reporting as per specified cadence.
  • Ensure that mandatory trainings over different domains are carried out as per schedule by all staff.
  • Support in staff contract management and policies along with logistics.
  • Stakeholder Relations : Serve as primary liaison with external accountants, labour consultants, banks, and regulatory authorities along with company managing partners

COMPLIANCE & RISK MANAGEMENT

  • Regulatory Compliance : Ensure adherence to financial regulations in both Italy and UK
  • Audit Support : Prepare documentation and coordinate with external auditors during review periods
  • Risk Assessment : Identify and report potential financial and operational risks
  • Data Protection : Maintain confidentiality and implement appropriate data protection measures

Required Qualifications

EDUCATION & CERTIFICATION

  • Bachelor’s degree in accounting, Finance, Economics, OR equivalent professional qualification upon candidate profile and experience
  • Understanding of both Italian and UK accounting standards

EXPERIENCE

  • 5+ years of comprehensive accounting and finance experience
  • Proven track record in startup or small business environments
  • Ideal experience with dual-jurisdiction operations in Italy / UK

TECHNICAL SKILLS

  • Advanced Excel proficiency : Complex formulas, pivot tables, financial modelling, and dashboard creation
  • Accounting Software : Experience with cloud-based accounting platforms (Xero, QuickBooks, Sage, or similar)
  • ERP Systems : Familiarity with integrated business management systems
  • Digital Tools : Proficiency with cloud-based document management, expense management systems, and collaboration tools
  • Banking Platforms : Multi-bank online banking experience across different countries
  • Regulatory Portals : Hands-on experience with Agenzia delle Entrate, INPS, HMRC, and Companies House

LANGUAGE REQUIREMENTS

  • Italian : Native or Business-level fluency (C1)
  • English : Native or Business-level fluency (C1)
