Cargolux is seeking an administrative professional to handle secretarial duties and HR support. The role involves managing invoices, office supplies, and maintaining relationships across departments, requiring strong knowledge of corporate secretarial tasks and payroll processes.

  • Proficient in managing corporate secretarial tasks.

  • Fluent in English, both written and spoken.

Descrizione del lavoro

  • Essential job results - Task responsibilities
  • Monitor inventory of office suppliers and the purchasing of new material
  • Oversee facilities services and maintenance activities
  • Providing requested Company data to ISTAT (Italian Office for Statistics)
  • by-day / daily tasks about secretarial matters
  • Relationships with the bank for payment (some home banking payments for local suppliers)
  • Managing petty cash with small / medium amount
  • Relationship with several depts. In Lux (accounting, travel, flight ops, security dept, general purchasing)
  • Relationship with third parties when secretarial matters are involved (general affairs)
  • Managing the credit cards provider for monthly statements and matching receipts
  • Daily managing of the certified electronic mail portal
  • Downloading of the invoices from cloud portal and registration in files in order to match the payments process by Lux

Controlling and matching the payments with the related invoices received from Lux

  • Monitoring SAP system for invoices
  • Assisting collecting data for yearly budget and further data elaboration
  • Human Resources
  • Assisting Director HR & Admin in secretarial daily task when requested
  • Daily HR and Accounting duties
  • Downloading of Aims data for crew monthly reports and statistic
  • Assisting HR Colleague in the preparation of monthly HR Input data for Payroll Processing
  • Assisting HR Colleague preparing On Boarding documentation for new hire
  • Relationships with HR consultant for salaries, employments and all HR-related matters;

ESSENTIAL REQUIREMENTS FOR THE POSITION :

  • Knowledge of Corporate Secretarial Duties;
  • Knowledge of payroll processes and employemnt rules;
  • English language (written and spoken);

40 hours / week
