- An exciting opportunity has arisen for an Executive Assistant to join a dynamic and fast-paced global company. We are looking for a proactive Executive Assistant to join our expanding and high performing global team, based in London. You will report to both the EVP (based in London) and the EMEA MD (based in Germany, Cologne) and provide support to them on all aspects of their role.

- A day in the life
- A variety of administrative tasks for the EVP and MD, including managing their calendars, completing expense reports, composing confidential correspondence, prioritizing emails, arranging complex travel plans, and completing special projects.
- Plans, coordinates, and ensures the team’s schedule is followed. Acts as the "gatekeeper" for their time.
- Ensures smooth communication between the EVP, MD, and internal departments, maintaining credibility, trust, and confidentiality.
- Works closely with the EVP and MD to keep them informed of commitments and responsibilities, following up as needed.
- Completes tasks with accuracy and a proactive approach.
- Prioritizes conflicting needs, handles matters swiftly, and follows through on projects.
- Organizes meetings, prepares agendas and presentations, and follows up on Action Items.
- Manages scheduling, creates templates, gathers information, and ensures timely completion of tasks.
- Produces weekly reports and shares financial information to support business reporting.
- Works on PowerPoint presentations and updates templates for quarterly business reviews, town halls, and meetings.
- Organizes offsite events, managing logistics, planning, and execution, including team events like summer parties.
- Approves team expenses, IOs, and POs for sign-off by the EVP/MD.
- After three months, you will support the EVP and MD in their daily roles and ongoing projects.
What you’ll bring
- Executive/Personal Assistant experience, preferably at the C-Level in a technology environment.
- Excellent verbal and written communication skills in English; German language skills are a plus.
- High level of customer service, discretion, adaptability, and handling confidential information.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Docs).
- Highly organized, proactive, and anticipative.
- Strong PowerPoint skills for professional slide delivery.
- Ability to multitask with attention to detail.
- Problem-solving and decision-making skills.
- Calm under pressure, with strong interpersonal skills and relationship-building abilities.
- Confident, outgoing team player who can hold their own.
