We are currently recruiting for an Executive Assistant SVP EMEA & LATAM, role can be based in multiple locations Milan (Italy), Marlow (UK), Strasbourg (France) or Prague (Czechia).

This position provides high-level administrative and executive support to the Senior Vice President and regional leadership team. The role involves a wide range of advanced administrative and secretarial responsibilities, including managing confidential information, supporting complex projects, and coordinating communication across multiple stakeholders.

The ideal candidate will demonstrate a high degree of discretion, sound judgment, and professionalism, while navigating sensitive matters and maintaining alignment with regional priorities. This role requires not only organizational excellence but also a deep understanding of business protocols, regional operations, and company policies. It’s a unique opportunity to operate at the intersection of executive leadership and strategic execution.

What you’ll be doing

  1. Provide a high quality, confidential and proactive administrative support service to the EMEA SVP including but not limited to: diary management, travel booking, meeting planning and logistics as and when required.
  2. Create and process expense reports.
  3. Coordinate and make notifications and arrangements for travel reservations, appointments, meeting planning and catering.
  4. Maintain sensitive files and records, facilitate effective communication within the organization, open and sort mail.
  5. Prepare reports, manuals, agendas, correspondence, presentations, and memoranda/minutes.
  6. Create and maintain organization charts, employee directory, SharePoint and e-mail group distribution lists.
  7. Miscellaneous projects as assigned (i.e., Annual Sales Conference, New EMT Leaders onboarding logistics arrangements).
  8. Occasional work-related travel to offsite meetings to support the SVP and his team and/or prepare EMT logistics (hotel, transportation, hotel liaison) approximately 15% of the time.
  9. Perform other work-related duties as assigned.

This position is not currently eligible for visa/work permit sponsorship.

What you’ll need to succeed

  1. Able to work in a fast-paced environment, set priorities, possess excellent communication and organizational skills, be resourceful, exercise independent discretion and judgment and maintain strict confidentiality in all matters.
  2. Impeccable time management; proactive; a team player but also able to work on own initiative; approachable.
  3. Excellent verbal and written communication skills.
  4. Attention to detail and excellent organizational skills are a must.
  5. Flexibility is essential when dealing with an organization in a mindset of change; everyday shifting of priorities is common in fast-moving businesses.
  6. Business Acumen: understanding business priorities and maintaining solid and frequent communication.

Required Skills:

  1. English (C1)
  2. Minimum of 5/7 years’ experience in a Senior Admin/Executive Assistant position.
  3. Proven experience of providing a range of support services including calendar management.
  4. Track record of high integrity and credibility.
  5. Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
