Descrizione del lavoro

The Executive Assistant will be responsible for handling a wide range of administrative and executive support-related tasks that vary in complexity and sensitivity. This position will report to the President & COO and support the Business Management Office. The Executive Assistant should be a highly resourceful team player, comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. The role requires good judgment, strong written and verbal communication, administrative and organizational skills, and the ability to balance multiple priorities effectively.

Responsibilities include :

  • Managing an active calendar of appointments, completing expense reports, and preparing correspondence, including confidential documents.
  • Handling phone calls, screening visitors, updating contacts, maintaining files, arranging travel plans, and preparing meeting documents.
  • Being reachable for emergencies and schedule changes.
  • Anticipating executives’ needs and proactively coordinating resources and support.
  • Representing the executives by welcoming visitors, organizing company dinners, and managing inquiries.
  • Adding value by accepting ownership of new requests and exploring opportunities for improvement.
  • Managing logistics for off-site meetings and supporting departmental meetings.
  • Managing external contacts and maintaining communication with primary contacts.
  • Improving processes through evaluation and redesign.
  • Handling product-related activities and communications professionally and confidentially.
  • Performing additional duties as assigned.

Qualifications :

  • At least 10+ years of executive administrative support experience.
  • Excellent verbal and written communication skills, with experience supporting high-level executives.
  • High professionalism and ability to handle confidential information.
  • Strong organizational skills with the ability to prioritize multiple tasks.
  • Experience working for a global company.
  • Flexibility and adaptability in ambiguous situations.
  • Strong teamwork skills and ability to operate independently.
  • Advanced proficiency in Microsoft Office Suite and familiarity with mobile technology.
