Responsibilities
  • Calendar Management: Efficiently manage the executive's calendar, scheduling and prioritizing appointments, meetings, and events. Ensure the executive is well-prepared for all engagements.
  • Meeting Coordination: Organize and coordinate high-level meetings, including preparing agendas, taking minutes, and following up on action items. Liaise with internal and external stakeholders to ensure seamless communication.
  • Travel Arrangements: Plan and coordinate complex travel itineraries, including flights, accommodations, and ground transportation. Handle travel-related logistics and ensure all arrangements align with the executive's preferences and schedule.
  • Communication: Act as the primary point of contact for the executive, managing incoming and outgoing communications. Draft, review, and edit correspondence, reports, and presentations.
  • Project Management: Assist in the management of special projects and initiatives, ensuring timely completion and alignment with strategic objectives. Track progress and provide regular updates to the executive.
  • Document Management: Maintain and organize important documents, files, and records. Ensure easy retrieval and secure storage of sensitive information.
  • Office Management: Oversee the executive's office operations, including managing supplies, coordinating with vendors, and ensuring a professional and efficient work environment.
  • Confidentiality: Handle sensitive information with the utmost discretion and always maintain strict confidentiality.
Profile
Qualifications & Skills
  • Experience: Minimum of 5 years of experience as an Executive Assistant, preferably in a global industrial or corporate environment or equivalent Experience in the Luxury Hospitality sector.
  • Language Proficiency: High proficiency in English is required. Knowledge of French is highly desirable.
  • Education: Bachelor's degree in Business Administration, Management, or a related field is preferred.
  • Skills: Exceptional organizational and time-management skills. Strong written and verbal communication abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Ability to manage multiple priorities with complex and fast situations. High level of professional standing and discretion. Strong problem-solving skills and attention to detail.
  • Attributes: Proactive and self-motivated with a strong sense of initiative. Ability to work independently. High degree of flexibility and adaptability. Strong interpersonal skills and the ability to build relationships with stakeholders at all levels.
