Descrizione del lavoro

The Executive Assistant will be responsible for handling a wide range of administrative and executive support tasks that vary in complexity and sensitivity. This position reports to the President & COO and supports the Business Management Office. The Executive Assistant should be a resourceful team player comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. The role requires good judgment, strong written and verbal communication skills, organizational abilities, and the capacity to balance multiple priorities effectively.

What You'll Be Doing :
  1. Manage an active calendar of appointments, complete expense reports, and prepare correspondence, including confidential materials.
  2. Handle mail, scan and file documents, screen calls and visitors, update Outlook contacts, maintain executive files, and arrange detailed travel plans and itineraries.
  3. Compile documents for travel-related meetings and be reachable for emergencies such as schedule changes.
  4. Anticipate executives' needs and proactively coordinate resources to support them.
  5. Represent the executives by welcoming visitors, arranging corporate functions, and managing meeting requests.
  6. Enhance the reputation of the executives and company by taking ownership of new requests and exploring opportunities to add value.
  7. Manage logistics for product offsite meetings and assist with department meetings as needed.
  8. Manage external contacts, understanding their importance and maintaining periodic communication.
  9. Improve processes through evaluation and redesign, implementing necessary changes.
  10. Handle product-related activities and communications professionally, accurately, and confidentially.
  11. Perform additional duties as assigned.
What You Bring To The Team :
