Airswift is seeking an Executive Assistant for a permanent remote position in Costa Rica, supporting a health and biotechnology company.

JOB RESPONSIBILITIES

  1. Calendar management: Oversee the CEO's calendar, scheduling and prioritizing internal and external meetings, calls, and trips with minimal conflicts.
  2. Meeting coordination: Prepare briefings and materials for meetings; ensure the CEO is well-prepared with background notes, objectives, and decision points.
  3. Post-meeting support: Follow up on action items, coordinate with teams and contacts, and send necessary documentation or sales materials.
  4. Stakeholder contact: Serve as a key point of contact between the CEO and high-level stakeholders, including executives, customers, and partners.
  5. Travel and logistics: Organize travel arrangements, accommodations, and agendas, typically 1-2 times per month.
  6. Information handling: Maintain confidentiality with sensitive information and strategic discussions.
  7. Administrative excellence: Create professional documents and correspondence using Microsoft Office 365; manage inboxes, files, and digital records.

JOB QUALIFICATIONS

  1. Experience as an executive assistant.
  2. Previous experience in the health, medical, or biotechnology sectors.
  3. Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams).
  4. Exceptional fluency in English (written and spoken); strong interpersonal skills for high-level stakeholder interaction.
  5. Comfortable working remotely with flexibility for extended hours or urgent matters during high demand periods.
  6. Same time zone as Costa Rica is preferred.
