A leading company in health and biotechnology is seeking an Executive Assistant for a permanent remote role. Responsibilities include managing the CEO's calendar, coordinating meetings, and interacting with high-level stakeholders. This position accommodates remote professionals preferably within the same time zone as Costa Rica, requiring flexibility during peak demands.

Airswift is looking for an Executive Assistant to work on a permanent contract in Costa Rica (Remote) with a health and biotechnology company.

JOB RESPONSIBILITIES
  1. Calendar management: Manage the CEO's calendar, prioritizing and scheduling internal and external Zoom meetings, calls, and trips with minimal conflicts.
  2. Meeting coordination: Prepare pre-meeting briefings and materials; ensure that the CEO is well prepared for the calls, with background notes, objectives, and decision points.
  3. Post-meeting support: Track and coordinate action items and follow-up with internal teams and external contacts, including sending sales material or necessary documentation.
  4. Stakeholder contact: Act as an important point of contact between the CEO and executive managers, customers, partners, and other high-level stakeholders.
  5. Travel and logistics: Organize and manage travel (usually 1-2 times a month), accommodation, and agendas.
  6. Information handling: Maintain absolute discretion with confidential information and strategic discussions.
  7. Administrative excellence: Create refined documents and correspondence using Microsoft Office 365; manage inboxes, files, and digital records.
JOB QUALIFICATIONS
  • Experience as an executive assistant.
  • Previous experience in the health, medical, or biotechnology sectors.
  • Proficiency in Microsoft Office 365 (Outlook, Word, Excel, PowerPoint, Teams).
  • Exceptional fluency in English (written and spoken); strong interpersonal skills to interact with high-level stakeholders.
  • Comfortable with a fully remote setup; flexibility to accommodate extended hours or urgent matters during periods of high demand.
  • Remote position, so professionals in the same time zone as Costa Rica are preferred.
