As Events Executive, you will play a pivotal role in one of Italy’s premier event management companies, steering projects independently from creative conception through event logistics to post-event support.

Responsibilities :

  • Respond promptly and professionally to RFPs, showcasing our expertise and commitment.
  • Craft compelling, customized proposal presentations and cost estimates tailored to client requirements and travel periods.
  • Develop an in-depth knowledge of Italy’s venues, hotels, restaurants, and activities, forging strong relationships with suppliers and exploring new possibilities.
  • Proactively follow up on pending requests, maximizing conversion to confirmed business.
  • Manage contracting and deposit collection with both clients and suppliers.
  • Act as the primary point of contact for pre-event planning, including creating detailed working documents, menu selection, liaising with suppliers, and coordinating transportation for each group.
  • Oversee full event management during the operation of the group.
  • Issue final invoices and collect outstanding balances with clients, as well as settle final invoices with all involved suppliers.
  • Conduct post-event follow-ups and gather feedback for continuous improvement.

Qualifications :

  • Secondary level of education; hospitality qualification is considered a plus.
  • Previous experience in hotel management, food & beverage, hospitality, or events preferred.
  • Ability to work independently and collaboratively, demonstrating responsibility in project management.
  • Customer-oriented with an outgoing personality and professional appearance.
  • Sales focus and / or prior sales experience highly desirable.
  • Proficient in Microsoft Office applications and Office 365.
  • Excellent written and spoken English; fluency in other languages considered an asset.
  • Flexible to work based on business demand.
  • Detail-oriented with exceptional time management and organizational skills.
